Job Summary
Are you an organized, approachable, and motivated individual with a passion for administration and communication? We have an exciting opportunity for you to join our dynamic administration team! We are seeking a highly skilled and enthusiastic Administrative Officer to support our busy team. This is a permanent, full-time position offering 37.5 hours per week. You will play a key role in ensuring the smooth running of administrative processes and providing excellent service to both staff and the public.
The post holder will be based at Leyland House, located within Lancashire Business Park, Leyland. They will be aligned with the Referral Management Team within the Childrens Therapy Service for the Central and West Locality, supporting all Childrens Therapy Teams and Services. This post will also provide reception cover at Adlington Clinic.
This role involves managing the administrative process from referral to first appointment. Key responsibilities include booking appointments using RIO/EMIS, handling telephone enquiries from service users, monitoring and managing waiting lists, and liaising with clinical teams. The post holder will coordinate administrative activities to ensure the delivery of a confidential, efficient, and high‑quality service.
* First point of contact for the unit/department. Greeting visitors and ensuring people sign in and are met by staff or directed to the right area as appropriate.
* Manage departmental meetings on a regular basis including diary management, room booking and document management.
* Answer telephones, taking and forwarding messages, ensuring that all telephone and personal callers receive a prompt, courteous, non‑judgemental and well‑informed response.
* Work independently and collaboratively as part of a team.
* Generate and process routine correspondence.
Person Specification
Essential
* Business Administrative qualification at NVQ Level 3/RSA 3 or equivalent experience.
* ECDL or equivalent experience.
* GCSE English Language and Mathematics A-C or equivalent.
* Previous administrative experience.
Knowledge
* Knowledge of a range of secretarial duties.
* Good understanding of Microsoft Office applications.
* Knowledge of Safeguarding Agenda.
* Knowledge of Customer Service Approaches.
* Good understanding and knowledge working with databases.
Experience
* Minimum of 2 years experience within an administrative role.
* Data inputting and checking.
* Working in a customer service environment.
* Administration of meetings; organising, minute taking, document management.
* Day to day support of clerical staff.
* Diary management.
Personal
* Excellent telephone manner.
* Treats people with courtesy and respect at all times.
* Problem solving skills.
Other
* Good grammar and numeracy skills.
* Excellent communication skills both verbal and written.
