Senior Clerical Officer - Gastroenterology

Due to the expansion of the service to encompass 7 day working, we have an exciting opportunity for a full-time Senior Clerical Officer to join our administration team in the Endoscopy Department. You will be IT literate, able to use most Office software and work unsupervised. Previous experience in the health sector would be an advantage. Excellent customer service, the ability to work as part of a team and the ability to work to tight deadlines are essential. You will be flexible and support the department as needed, including cross-site cover at our Broadgreen Diagnostic Hub if required.
Main duties of the job
* Reporting to the lead administrator, you will be part of a team responsible for booking various patient appointments, maintaining and using hospital systems (IPM, dashboard, ICE, PENS), monitoring waiting lists, data entry, liaising with health professionals, handling requests from service users and patient enquiries, and providing functional flexibility to meet service demands.
* Administratively support the specialist nurse team with pre-investigation and the E-referral service.
* Take lead responsibility for dealing with referrals for all outpatient and day-case appointments for endoscopic procedures (diagnostic and therapeutic), ensuring a high-quality service and smooth running of the department.
* Work unsupervised but be available to advise junior team members.

Job responsibilities
* Lead responsibility for the booking of referrals for outpatient and day-case appointments and endoscopic procedures (diagnostic and advanced therapeutic) in line with guidelines.
* Coordinate appointments with anti-coagulant nurse and/or dietician when appropriate.
* Rotate through lead booking areas within the office (including two week rule service), manage the outpatient pre-invest system, and record ward attenders.
* Liaise with health professionals, wards, A&E and GP surgeries as required.
* Process out-patient referrals using the Choose & Book partial booking system; register new patients on IPM/PAS and add to the appropriate waiting list.
* Monitor and highlight waiting list breaches and waiting times; ensure procedures are booked onto appropriate lists according to the Endoscopist’s skill level.
* Prepare appointment letters and provide relevant information leaflets/research information for patients.
* Ensure outcomes are recorded on IPM/PAS and remove patients from waiting lists as required in line with the Trust’s access policy.
