Project Support Officer

Provides project, operational, technical and administrative support to the Project Office to ensure successful delivery of projects to the timescales identified within the project plans. Develops, maintains and files project documentation in accordance with the department's standards. Maintains a professional working relationship with system suppliers, project and implementation team members and end users, and serves as a point of contact for project enquiries from end users and key stakeholders. May provide training to key project team members required to ensure effective management of Project plans, documentation, reports, and risk and issue logs.
Assumes responsibility for specific key work projects/tasks, acting on own initiative to see these through to a timely conclusion.
Main duties of the job
Co‑ordinate and support the effective taking of minutes and transcription for Project meetings; prepare and distribute agenda and supporting documentation.
Build and maintain good working relationships across the Trust.
Work under pressure, use own initiative and work from minimal instruction to assist the Directorate's Board Members and Senior Management Team with their workloads.
Provide efficient customer service, welcoming visitors and dealing with enquiries in person, by letter, email or telephone.
Produce printed documents as required.
Manage electronic diary, arranging meetings, conferences, time outs, booking venues, arranging hospitality and organising travel arrangements (e.g., booking trains and hotels).
Induct contractors and lead implementation of control systems.
Oversee retention and/or destruction of records, both paper and electronic.
Perform low level project management duties such as liaising with contractors, carrying out inductions for contractors.
Tender works packages in line with the Capital Development Team systems of work.
Assist Project Managers in developing and delivering projects on time and to budget.
Assist with day‑to‑day project management duties and small‑scale projects, provided the individual has the requisite knowledge.
Assist in developing project reports in line with Snr Project Managers' instructions.
