We are looking for a Band 3 Administrator to join our busy team based at the Rosewood Mother and Baby Unit in Dartford.
You will be a flexible resource to support the team in the provision of services to include the organisation of work for yourself and other team members and will have front line contact with service users, carers, the general public, or other external stakeholders, as well as internal colleagues.
The Administrator will support the inpatient unit with tasks such as reception duties, typing, preparation of correspondence, customer service, organisation, eg, diary management and organising meetings and events + maintenance of effective and efficient working systems and supporting business and performance management.
No hybrid opportunity, ward-based only, Monday - Friday 9am to 5pm.
Main duties of the job
* Respond to requests and provide information to external and internal queries from staff, service users in the generic inbox and answer the ward phone.
* Uses electronic communication systems, e.g., email, in accordance with Trust policy.
* May initiate communications with service users, e.g., regarding appointment changes and/or to internal colleagues.
* Distribution of information - usually electronically.
* Arranging meetings and booking rooms.
* Monitoring of the generic email account.
* Maintaining safeguarding procedures when answering the phone and emails, adhering to GDPR guidelines and Trust policies.

What is High Cost Area Allowance?
The High-Cost Area (HCA) allowance, also referred to as London Weighting is a payment made to employees who work in London and the surrounding areas.
As this post is based in Dartford, Gravesham or Swanley, the successful applicant will receive an additional payment each month.
5% of basic salary, subject to a minimum payment of £1,303 per year and a maximum payment of £2,198 per year (the agreed annual amount will be divided into 12 equal amounts and paid monthly) (2025 figures).
Training
* Educated to NVQ level 3 / RSA3 or equivalent
* GCSE in Maths and English or equivalent
Experience
* Previous employment or administrative/office work for minimum of 2 years
* Previous experience in a customer facing role
* NHS experience
* Perinatal experience
Knowledge and Skills
* Preparation of documents to high quality using Microsoft packages
* Ability to work in a fast paced, high pressure environment
* Accuracy and attention to detail
* Experience using RiO
