We currently have an exciting opportunity for an Administrator that is looking for a new challenge to work in an organisation that will help you develop and achieve your goals to become the best you can be.

We are looking for an Administrative Assistant/Receptionist to join our Adult Mental Health Services situated in Market Drayton. The Service offers mental health care and treatment across a variety of different age ranges and presentation. You may already live in Shropshire or are considering relocation to an idyllic semi-rural location.

The post holder will be working as part of a team along with Administrative Assistants and Medical and Clinical Administrators. The post holder will be expected to be able to use their own initiative and judgement, although they will be well supported by other Mental Health Admin staff and through the clinical and professional networks accessible through the community teams.

Main duties of the job

We are looking for a Administrative Assistant/Receptionist working 30 hours per week (Monday, Wednesday, Thursday and Friday), supporting the Adult Mental Health Services based in Market Drayton. Our Administrative Assistants are an integral part of our Admin Team,and our clinical teams rely on us to provide an efficient, effective service to support them in delivering the very best care to patients. The administration offices are busy, and the role is challenging but it is alsorewarding.

What will the role entail?

* Utilise the patient administration system (RiO) on a daily basis keeping accurate records and booking of appointments.
* Carry out administrative tasks such as photocopying, scanning, uploading documents, typing.
* Type a range of documents including emailed requests, copy typing, and audio transcription (via digital dictation system) generated by the mental health pathway teams.
* Use a variety of electronic systems (MS Office, RiO, MICAD, E-Proc).
* Manage and deal with calls from service users, families, carers, and other professionals.
* Support the team in carrying out admin work requests via the centralised admin inbox.
* Confidently handling queries of a challenging/sensitive nature.
* Concise and accurate message taking.
* Reception duties including meeting and greeting service users, carers, relatives and visitors, as requested by the Admin Team Leader.
* Prioritise own workload and meet deadlines in order to meet the requirements of the post.

Person Specification


QUALIFICATIONS & TRAINING

* NVQ 2 in Business Admin (or equivalent level of administrative experience)
* OCR/RSA II or equivalent experience
* Minimum 1 year of admin experience


EXPERIENCE

* Relevant experience of working in an office environment
* Relevant experience of undertaking office procedures with minimal supervision
* Dealing with the public
* Previous experience of working within the NHS
* Experience of using RiO or a patient clinical system


SKILLS, KNOWLEDGE & ABILITIES

* Demonstrate effective verbal and written communication
* Proficient in the use of computer packages including Microsoft Office
* Ability to produce documents and reports to a high standard from handwritten and audio transcription
* Ability to prioritise workload in order to meet conflicting demands and deadlines
* Ability to work on own initiative
* Demonstrate an understanding of the importance of effective teamwork
* Understanding of the importance of confidentiality and maintaining confidentiality
* Excellent telephone skills
* Willing to travel to other locations as and when required
* Customer Service Skills
