Band 3 Clinical Services Administrator – Swindon
We are looking for an experienced administrator to become part of the Swindon Talking Therapies Administration Team. We are a friendly team who enjoys keeping busy and works well within a small group in a shared office space. Working hours are Monday to Friday, 9 to 5, from our base in Old Town Surgery, Swindon. Occasionally you will be required to provide cover and work remotely across the BaNES and Wiltshire services from Swindon.
Responsibilities
* Serve as the first point of contact for clients who self‑refer into the service via telephone and online.
* Greet clients in reception, take personal details and upload them accurately onto the electronic patient record system IAPTUS.
* Book and re‑arrange appointments, manage electronic bookings and collate appointment letters.
* Cover reception duties, monitor the service mailbox and ensure timely dispatch of correspondence.
* Provide telephone cover with excellent telephone and English language skills.
* Work closely with team members, share workload and maintain good working relationships within the team.
* Provide occasional cover for the BaNES and Wiltshire services.
Qualifications
* Experienced administrator with strong organisational skills.
* Good working knowledge of Microsoft Office systems (Outlook, Word, Excel).
* Excellent team player with strong communication skills and the ability to prioritise.
* Good understanding of information governance.
* Strong personal resilience, an eye for detail and a high level of accuracy.
* Excellent telephone and English language skills.
