Team Administrative & Facilities Assistant


Location: Near Bank Station
Work Arrangement: Hybrid - 4 days in office, 1 day from home

Our client, a globally recognised Fortune, Nasdaq-listed organisation, is seeking a proactive and organised Administrative & Facilities Assistant to support daily operations and keep the office running smoothly. Role Overview


In this position, you will play a vital role in supporting both administrative functions and facilities operations across the business. You'll work closely with multiple teams to ensure a seamless and efficient working environment.



Key Responsibilities


Records Management & Audits



1. Maintain and monitor archiving and records-management systems.

2. Prepare documentation and reports for quarterly audits.

3. Oversee and update access-control records.



Travel & Event Coordination ️



4. Arrange domestic and international travel, including visa applications.

5. Support the planning and delivery of internal and external events.



Office, Reception & Facilities Support



6. Provide front-of-house support, including reception cover and visitor management.

7. Assist with filing, data entry, and document handling.

8. Coordinate office supplies, meeting room setup, and general facilities tasks.

9. Liaise with building management and suppliers as required.



Health & Safety Responsibilities 🩹



10. Act as a designated First Aider and Fire Warden.

11. Manage DSE assessments and ensure H&S procedures are followed.



Additional Support



12. Support the distribution of sports tickets and event allocations.

13. Provide wider administrative and project support to teams across the business.




Qualifications & Skills



14. Experience in a similar Administrative, Office Support, or Facilities role.

15. Strong organisational skills with exceptional attention to detail.

16. Confident communicator with excellent written and verbal skills.

17. Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).

18. Ability to prioritise, multitask, and work both independently and collaboratively.
