Avondale Foods is a leading food manufacturing company of Fresh and Chilled products supplying leading retail businesses including Marks & Spencer, Waitrose, Dunnes, Morrisons, Aldi & Lidl throughout the UK & Ireland. The Administrative Assistant will report directly to the Purchasing & AX Manager and work as part of a well-established team. This role will involve managing and coordinating the daily operations of the office to ensure smooth and efficient functioning. The Administrative Assistant will also support the Purchasing team with a range of administrative tasks, ensuring that all purchasing-related processes are compliant and well-maintained. Additionally, the role requires setting a positive example by upholding and promoting adherence to company policies and procedures, particularly those related to Product Quality, Food Safety and Integrity. Key Responsibilities Purchase Order Management Raising Ad Hoc purchase orders from internal departments. Liaise with warehouse/accounts department on invoice queries. Data & Record Keeping- Maintaining accurate records in procurement systems, such as supplier and product details. Delivery Coordination Ensure deliveries arrive within the allotted time period, communicate with Warehouse team on late deliveries. Product Sourcing Assist the Buying team on sourcing new materials, liaise with NPD on requirements and follow up on sample requests with suppliers Attend Factory trials and provide feedback to the relevant Buyer. Assist with holiday cover for buying team, liaising with suppliers on outstanding orders and arranging movement of goods from external sites Ensure Food Safety compliance with company policies and regulatory requirements to remain audit-ready at all times. Ensure confidentiality and security of sensitive data at all times. Contribute to the development of a culture of Integrity, collaboration do the right thing approach in all interactions. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Attention to detail and accuracy in work Excellent written and verbal communication abilities Ability to multitask and prioritise workload effectively Flexibility and adaptability in a fast-paced environment Desirable Criteria Qualification in Business Administration or related field Knowledge of ERP or MRP systems Experience working within the Food Manufacturing industry.
