Job Overview
University Hospitals of North Midlands is looking for a Band 2 Administration Support Assistant to work at the Royal Stoke site. The successful candidate will assist Clinic Administration teams to ensure outpatient clinics are fully utilised, patients are allocated an outpatient appointment within NHS national targets and may also support the Appointments Call Centre.
The role requires self‑motivation, the ability to work under pressure, prioritise tasks and set objectives, and demonstrate team building skills, awareness of Trust policies and procedures.
Main Duties
* Handle clerical duties, including providing and receiving routine information requiring tact or persuasive skills.
* Communicate tactfully with patients, reception staff and other stakeholders about appointments and queries.
* Deal with appointment enquiries and provide factual routine information to patients, relatives (with consent) and external/internal bodies.
* Manage internal calls, external patient calls, relative enquiries and calls from other healthcare professionals.
* Work closely with the Outpatient department to develop knowledge of specialties and promote effective communication to achieve Trust and Divisional objectives.
* Coordinate with system administrators daily, updating them on slot issues, patient queries and feedback on allocated work.
* Ensure all available capacity is fully utilized and take instructions from the Clinic Administrator to deliver an efficient booking service.
* Organise own workload, coordinate and adjust ongoing clinic appointments.
Person Specification
* Grade C's and above, including Maths and English qualifications or equivalent experience.
* Varied knowledge of IT skills.
* Customer care service experience.

Visa Information
At present, University Hospitals of North Midlands is unable to offer visa sponsorship for Band 2 to Band 4 roles, as these positions do not meet the minimum salary and skill thresholds required under UK Visas and Immigration (UKVI) regulations.
Applicants currently in the UK on a visa must have at least six months remaining on their visa at the time of the start date (unless they hold a Skilled Worker Visa, which requires a new Certificate of Sponsorship).
In line with the change of immigration rules on 8th January 2026, if you require sponsorship through the Skilled Worker Visa you must be able to provide B2 English evidence before a Certificate of Sponsorship can be issued.
Skilled Worker visas cannot currently be issued to Afghan nationals. Study visas cannot currently be issued to nationals of Afghanistan, Cameroon, Myanmar or Sudan, and we are unable to progress applications requiring sponsorship under these routes.
