Purpose of the Role
Responsible for supporting the Delivery Manager and managing a portfolio of customers and optimisations/enhancements against agreed operational and financial targets while managing your own backlog of work and customers. Provide support in planning, resourcing, direction, focus, communication and results on behalf of the Delivery team in Optimisation projects that lead to excellent customer feedback based on accurate and timely reporting.
Overview Of Key Responsibilities
Processes
* Play a key role within ‘HSO Managed Services’ to ensure a first‑class service is delivered to new and existing customers.
* Ensure all assigned small, medium and large optimisations are delivered on time and within budget, maintaining required PSC levels.
* Ensure invoicing is completed accurately and promptly, flagging any potential overruns early and securing approval before formal invoicing.
* Use MS DevOps to capture all tasks and updates, keeping internal and customer communication regular and accurate.
* Carry out additional duties as instructed by the Managed Services Team Lead.
* Complete internal processes and requirements per the Company Handbook and Quality System.
* Operate in accordance with HSO ISO27001 and GDPR policies.
* Represent HSO professionally, adhering to health and safety and equipment care policies.
* Ensure releases for customers align with HSO and customer activities.
Project & Stakeholder Management
* Capture and elevate concerns around deliverable quality, ensuring customers are aware of potential impacts on timelines and finances.
* Explain any changes in plans or delivery to customers, setting clear expectations.
* Create and own a resourcing plan to fulfil upcoming tasks cost‑effectively.
* Lead regular alignment calls with delivery teams for progress updates.
* Provide real‑time reporting for team, customers and senior management, capturing hours and service profitability.
* Act as a point of contact for optimisation projects, taking ownership of communication and resolution.
* Support change processes on behalf of customers, ensuring scheduled changes are approved at CAB before deployment.
* Contribute to the development and management of DevOps and other MS systems to provide accurate KPI data.
Visibility and Representation
* Carry out additional duties as instructed by the Managed Services Senior Leadership Team.
* Advocate for Managed Services within the organisation.
* Raise concerns to relevant managed services roles and line manager promptly.
* Work with the PMO team to ensure timesheet codes are available for all customer projects.
Requirements
Essential
Experience And Skills
* Previous experience in a project office or project delivery role.
* Project Management qualification (preferred).
* Strong Microsoft Office skills, including Microsoft Project.
* Ability to work in a busy environment and remain calm under pressure.
* Strong teamwork and stakeholder relationship skills.
* High degree of self‑motivation.
* Ability to meet tight timescales.
* Excellent communication and facilitation skills.
