As we expand our operations, we’re seeking an experienced Estate & Facilities Manager to ensure our premises remain secure, compliant, and optimised for a high-performing regulated environment. Role Overview We are seeking a highly capable and experienced Facilities & Estate Manager to oversee the day-to-day management, maintenance, and operational oversight of Montu Pharmaceutical’s new facility. This senior position will play a key role in ensuring that the site is safe, compliant, cost-effective, and aligned with our strategic and operational objectives. You’ll be responsible for managing service charge budgets, coordinating rent reviews and lease events, managing service providers, ensuring regulatory compliance (e.g. MHRA, GDP), and maintaining a safe, efficient workplace that supports ongoing business growth. The role is ideal for someone with strong commercial acumen, excellent stakeholder management skills, and a proactive, solution-oriented approach. Key Responsibilities Manage landlord and tenant relationships, acting as the main point of contact on property matters. Lead and coordinate rent reviews, lease renewals, surrenders, break clauses. Oversee the full operation and upkeep of the facility, including offices, secure storage areas, and warehouse areas. Manage building services such as HVAC, fire safety systems, access control, utilities, waste, and security. A hands-on approach to resolving operational issues and ensuring systems meet performance expectations. Liaise with external contractors and service providers to schedule and oversee maintenance and upgrades. Ensure regulatory compliance across all relevant areas (e.g. Health & Safety, MHRA/GDP guidelines, fire safety, access control). Lead and document routine facility inspections, risk assessments, and compliance reports. Oversee building fit-out, layout optimisation, renovation, and space planning as the site becomes fully operational. Develop and monitor budgets related to facilities operations, repairs, and service contracts. Collaborate with contractors and internal teams to uphold high standards in safety, quality, and compliance. Manage external contractors and service providers, ensuring SLAs and KPIs are met. Manage and reconcile annual service charge budgets, working closely with landlords and agents. Review service charges invoices and budgets to ensure transparency and value for money. Track and report on spend across sites, identifying areas for cost control or efficiency. Assist in property acquisitions, fit-outs, and refurbishments from a facilities perspective. Qualifications & Experience Significant experience (5 years) in a senior estates or facilities role, ideally in a commercial or multi-site environment. Strong understanding of commercial leases, service charges, and property legislation. Proven experience managing rent reviews, lease negotiations, and landlord relationships. Knowledge of building compliance, H&S regulations, and FM best practices Excellent organisational, communication, and negotiation skills. Financially literate, with experience managing service charge budgets and supplier contracts. Familiarity with MHRA and GDP compliance environments is a strong advantage Experience managing service providers and building maintenance contracts. Excellent communication and organisational skills with the ability to handle multiple tasks and priorities. Proficient in facilities management software and MS Office Suite IOSH/NEBOSH qualification or equivalent is desirable. Knowledge or understanding of health & safety, compliance, or facilities regulations is advantageous. Confident communicator who can build effective relationships across internal teams and service partners. Experience in managing lease contracts including deep understanding in service charges and rent renewals.
