Role
Management and continuous improvement of the Rental Department, striving to ensure all activities are completed in the safest and most effective manner to deliver a high level of customer satisfaction and maximum commercial benefit to Crown and its customers.
Responsibilities
* Manage and supervise the administration of the short-term rental fleet, including rental agreements, invoices and credit notes.
* Liaise with customers and the sales team; process orders to maintain fleet status.
* Coordinate with the Regional Service Manager to ensure trucks are prepared and available for transportation in conjunction with the Service and Parts department.
* Ensure that contracts are raised, signed, delivered, and invoiced in a timely manner.
* Log and proactively monitor all rental enquiries.
* Manage customer queries related to invoicing, current and terminated agreements.
* Handle enquiries relating to customer and sales leads and respond within 2 hours where possible.
* Accurately select equipment and request workshop jobs to enable job completion within required timescales.
* Manage transport for the region, ensuring transport notes for delivery and collection of equipment are raised promptly and accurately.
* Ensure inspection of returned equipment is conducted promptly; follow up on and conclude estimates for damages efficiently.
* Deal with termination of short-term/rolling contracts promptly for subsequent rentals and manage assets (identification, location and status).
* Forecast rental details on a rolling 3-month basis.
* Involve in annual budget planning and end-of-year stock audit.
* Agree rental rates in conjunction with sales and direct to the customer.
* Maintain service records and information structure for insurance purposes.
* Ensure all rented assets meet LOLER and PUWER requirements.
* Oversee general administration relating to the rental department, including new customer documentation, information for the sales team, process and procedure support, and weekly reporting of all work requirements for new, used, and rental equipment.
Person Specification
Essential Skills:
* Strong administrative, organisational and customer skills.
* Good Microsoft Office skills with intermediate Excel (pivot tables and manipulation of large data sets) and knowledge of Outlook.
* Excellent telephone manner to handle customer queries and liaise with the sales team.
* Proven experience within transportation, rental and logistics is essential.
* Ability to build and maintain relationships with internal (Region Service Managers, Sales, Service, Finance) and external customers.
* Knowledge of LOLER regulations.
Desirable Skills:
* Experience with Baan or SAP is beneficial.
* Engineering background and/or forklift truck knowledge is beneficial.
Vacancy Details
Hours of Work: Monday to Thursday 08:00–16:30 (1 hour unpaid lunch); Friday 08:00–16:00 (1 hour unpaid lunch).
Salary: Dependent on experience
Holidays: 25 days holiday.
