About The Role

This role requires building a close working relationship with the CSEO, CIO, CPO and HOP handling a range of administrative support related tasks to ensure they are maximising their time efficiently. The right candidate will be proactive with a flexible and can-do approach.

Your role will be diverse and things you will handle include but are not limited to:

* Full management of diaries. Inclusive of liaising with both internal and external contacts to ensure that meetings are scheduled, and conflicts are proactively managed, managing meeting attendees and collating and distributing agendas and if needed.
* Processing of expenses.
* Booking of internal meeting rooms, arranging catering and IT support where necessary.
* Meeting and greeting of any visitors, ensuring their experience visiting OMD UK is welcoming and seamless.
* Support in booking any client/external entertainment and events, this ranges from client dinners through to support on largescale industry events.
* Occasional management of office related tasks such as IT kit or stationary ordering.
* There will also be, on occasion, the opportunity to work on projects. These could be research reports or the project management of events. In these instances, you’d be working with a wider team in a project management/coordination role.
* Helping with the organising and running of our agency All in Days.


What You Will Bring To The Role

We are looking for a real team player who is positive, calm and has a passion for being that ‘I’ve got this’ person, you’re a champion at finding a solution.

You juggle diaries in your sleep, and you have a natural ability to deliver to short lead times.

Throwing together a dinner for 10 with 4 days' notice is a walk in the park.

Knowing when to use discretion and show your responsible side, the difference between a WhatsApp ‘chat’ and the voice you use in the all-client comms. You’re acutely aware of when it’s right to reshare information and when it’s not.

Flexible Working
