Admin Lead/Clinical Team Secretary

The post holder is required to provide a lead role with responsibility for the day to day management of administration and secretarial staff. Providing and co-ordinating a high level, efficient and comprehensive Clinical Secretary and administration service.

Please note that this post does not meet the pay level required for a Skilled worker visa.Successful applicants with no prior NHS experience would normally be placed at the bottom of the band in line with Agenda for Change. This salary is below the minimum salary required for sponsorship for a Skilled Worker / Health & Care visa. In these circumstances the Trust would not, therefore, be able to sponsor for a Skilled Worker / Health & Care visa.Applicants requiring a Skilled Worker Visa can determine the likelihood of obtaining a Certificate of Sponsorship against the relevant criteria here https://www.gov.uk/skilled-worker-visa


Main duties of the job

To provide an efficient and comprehensive reception, secretarial and administrative support to the medical and clinical staff within Broxtowe and Rushcliffe Community Mental Teams within the Older People Care Unit. These teams are based at Stapleford Care Centre (NG9 8GA) and Lings Bar Hospital (NG2 6PR).

Be able to work flexibly to provide cover which, assist with local projects, facilitate MDT meetings, production of agenda and accurate minute taking for these meetings.

Job responsibilities

Ensure the Trust's standing Financial instructions are adhered to at all times,

To monitor and order stock and non stock items

To suggest changes to and implement local health and safety procedures

To suggest best practice in services in relation to implementing new systems and processes for both admin and Clinical staff.

Monitor staff absences in line with Trust policy

Please note applicants will be required to pay for their DBS check. Costs are deducted from salary following appointment. The cost of the DBS application is £26.40 (standard) or £54.40 (enhanced), this cost will be deducted from your salary over the first 2 months of employment.You are encouraged to enrol for the DBS Update Service. An annual fee of £16 per year applies.


Person Specification


Skills

* Ability to work on own initiative
* Excellent telephone manner
* Excellent organisational skills
* Experience of working without supervision for protracted periods


Experience

* Dealing with people to maintain a high level of customer care
* Extensive knowledge of working to senior manager level.
* Experience of working in a busy office environment
* Extensive knowledge of Microsoft Office
* Understanding of the data protection act and maintaining strict confidentiality


Qualifications

* Possession of a recognized leadership/management qualification to Foundation Degree level or significant recent leadership management experience
* Knowledge of a full range of Business & Administration procedures acquired through NVQ Level 3 or significant leadership experience, which will include management of staff including complex issues such as change management and conflict issues
* Typing/word processing qualification to RSA/OCR III standard or equivalent skill level
