We are looking for a dedicated and organised Ward Clerk Administrator to join our team.

Responsibilities
* Provide secretarial and administrative support to clinical and non‑clinical areas of the hospice, primarily the Adult Inpatient Unit.
* Act as first point of contact for visitors, relatives, carers and professionals, both face‑to‑face and by telephone.
* Field or pass on calls and messages, inform appropriate professionals following a patient’s death or discharge.
* Request confidential records, ensure secure transfer and safe disposal in accordance with legislation.
* Prepare and develop necessary documentation for clinical areas; keep AIPU and other processes up to date.
* Maintain and organise filing systems; return NHS medical records using iFit; update NHS IT logins for starters and leavers.
* Deliver EMIS support and training to clinical staff; support internal and external room bookings.
* Provide cover for the main reception and other clinical areas when required, including holiday cover for Ward Clerks.
* Provide administration support for clinical meetings (sending invitations, agendas, minute taking).
* Participate in ongoing training to stay current with technology, legislation, best practice and new procedures.
* Undertake any other duties requested and within capability, as dictated by the needs of the organisation.
* Support data and reporting: maintain EMIS Web, design and maintain coded templates, produce high‑quality data aligned to key performance indicators, generate monthly and quarterly reports.
* Ensure adherence to GDPR and the Data Protection Act 2018; maintain confidentiality and data‑governance standards.
Qualifications
* GCSE qualifications or equivalent, including Maths and English (Grade C or above) or evidence of demonstrable experience.
* Business and administration or data‑focused qualification or equivalent experience.
Experience
* Experience in a customer‑facing role.
* Experience in the healthcare environment.
* Experience in data production and analytics.
* Clinical administration experience.
* Experience using EMIS (Electronic Patient Record System).
* Experience providing minute taking.
* Familiarity with the Data Protection Act 2018 and related legislation.
