Overview
We have an exciting opportunity for an experienced Senior Administrator/ Office Manager to work for our dynamic and growing client based in Hoddesdon. They pride themselves on delivering high-quality, practical solutions for their clients while fostering a collaborative and supportive work environment. They are currently seeking a proactive, organised, and dependable Office Manager to help keep their operations running smoothly. The role is a full-time permanent position working onsite in Hoddesdon from 8am - 4pm, Monday - Friday. This role offers a salary of circa £35,000 depending on experience although this maybe negotiable.
Candidates must have a good level of admin experience as the role involves managing all administrative duties within the office by supporting the Directors and providing admin support for engineers and sub-contractors.
The successful candidate will play a key role in ensuring the efficient day-to-day administrative operations of the office. This position is ideal for someone who enjoys a varied workload and can manage multiple tasks with minimal supervision. You\'ll support both the management and engineering teams, handling everything from reception/customer service duties to admin support.
Key Responsibilities
* Manage invoicing, purchase orders, and payment tracking.
* Answer incoming calls, and manage general email correspondence
* Maintain and organise office supplies, equipment, and inventory
* Coordinate incoming and outgoing mail and deliveries
* Assist with invoicing, application submittals, expense tracking, petty cash accounting duties
* Schedule meetings, appointments, and staff travel arrangements
* Coordinate staff schedules, holidays, and timesheets.
* Manage fleet of vehicles including MOT\'s and general servicing
* Maintain digital and physical filing systems, including project and client records
* Support the preparation of reports, presentations, and documentation for projects
* Liaise with vendors, clients, and service providers as needed
* Prepare and submit commercial applications, quotations, and tender documentation.
* Ensure the office is clean, tidy, and well-presented
* Perform other administrative tasks as required by the team
Qualifications and Skills
* Proven experience in an Office Manager or office support role essential.
* Strong understanding of commercial administration (invoicing, application submittals, PO management).
* Strong organisational and multitasking abilities
* Excellent written and verbal communication skills
* Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Microsoft OneDrive
* Attention to detail and a proactive attitude
* Ability to work independently and as part of a small team
* Flexible, adaptable and willing to carry out a range of administrative tasks.
