Band 3 Medical Secretary - Heart and Lung Transplant

An exciting opportunity has arisen to work as a Band 3 Medical Secretary in the fast‑paced and busy Heart and Lung Transplant Department at the Queen Elizabeth Hospital. The post holder will be a key member of the team and is expected to provide an empathic and sensitive point of contact for patients, relatives and carers, and to have a confident and calm manner with good communication skills.
The successful candidate will be efficient, productive and be able to prioritise tasks such as booking appointments, managing diaries, specialising in audio‑typing of clinic letters and supporting colleagues and clinical staff during annual leave and sickness.
Main duties of the job
Liaising with the Team Leader daily and providing full secretarial support to the band 4 Senior Medical Secretarial Team. Processing clinical letters (touch‑typing from audio and/or copy‑typing from written documentation, preparing letters, emails, reports and minutes of meetings), booking clinic appointments, checking follow‑up appointments and clinic outcomes, adding patients to the waiting list and maintaining diaries as required. Inputting and looking up data on Trust IT systems in accordance with Trust policy.
The post holder will be proactive in solving problems and queries and will see these through to completion. They will need to be calm and patient with an excellent telephone manner, drawing upon communication and interpersonal skills to deal with sometimes complex and difficult issues over the phone. The post holder will be flexible in their approach and will work creatively to provide support in the most effective way.

Person Specification
Qualifications
* Good General Education (e.g. GCSE English and Maths A-C), GCSE Level 9-4
* Business Administration NVQ level 3 or equivalent experience in a clerical environment
* AMSPAR Certificate or equivalent qualification or equivalent knowledge of medical terminology
Experience
* Experience of dealing with Public / Customer service experiences
* Experience of working with a range of Microsoft Office packages (e.g., Word, Excel and Outlook)
* Experience of using IT systems
* Experience of working in a busy environment
* Experience of working in Healthcare
