Blood Health Team Administration Assistant

The Welsh Blood Service (WBS) is immensely proud of the vital role it plays in striving to save and transform lives through the generosity of its blood donors. We deliver an essential service for NHS Wales by providing a safe, high-quality blood and transplantation service to support the treatment of patients across Wales.

The post holder will work with the Blood Health Team to support delivery by providing day-to-day administration and coordination to assist in its successful delivery.

We are looking for an experienced administrator with excellent organisational skills. Required to arrange meetings and take corresponding meeting notes/minutes. Experienced in management of spreadsheets and complex data entry requirements, able to organise and prioritise their own workload to meet deadlines.

The post is a full time (37.5 hours a week) permanent role based within the Talbot Green site.

The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply.


Main duties of the job

To provide comprehensive, efficient and effective administrative support to enable the delivery of the Clinical Services Department Core functions e.g. Blood Health Team (BHT) promotion of patient blood management, clinical governance and medical support, with particular reference to ongoing work for the Preoperative anaemia management programme within the Welsh Blood Service (WBS).

* Issue a range of written communications on behalf of the BHT and the Blood Health National Oversight Group (BHNOG). Communication with relevant colleagues regarding the Preoperative Anaemia Programme.
* Provide full and effective administrative assistance to the BHT to support the management of the Preoperative Anaemia Programme. Duties will include - minute taking, organising meetings, report typing, updating and maintenance of spreadsheets and databases.
* Support the Preoperative Anaemia programme and wider BHT in the formulation and dissemination of relevant clinical correspondence including clinical audit and feedback systems.

Person Specification


Qualifications and Knowledge

* GCSE qualification or equivalent in Maths and English
* ECDL or equivalent in IT knowledge and skills
* NVQ level 3 or equivalent in relevant subject e.g. administration
* Understanding of confidentiality


Experience

* Administrative/secretarial experience
* Maintaining computerised and paper record keeping systems
* Administrative role within health care environment


Skills and Attributes

* Good communication and interpersonal skills
* Ability to prioritise work in a developing environment of competing priorities
* Willingness to learn new skills.
* Formal minute taking.
* Advanced keyboard skills Enthusiastic/motivated.
