Role Description
We are seeking a proactive and highly organized Business Administrator to support the daily operations of EcoCare Pest Management. This role involves managing technician schedules, coordinating bookings, monitoring performance KPIs, and ensuring smooth communication between customers, technicians, and management.
You will play a key role in keeping the business running efficiently — from managing customer enquiries to scheduling jobs, following up on leads, and ensuring our service standards and monthly performance targets are met.
Key Responsibilities
* Technician Scheduling & Diary Management
* Coordinate and optimize technician routes and daily schedules using Jobber CRM and Hubspot.
* Ensure all customer bookings are confirmed and assigned to the correct technician based on location, availability, and job type.
* Monitor appointment completion and ensure same-day updates on job status.
* Customer Service & Communication
* Act as the first point of contact for customer enquiries and service requests via phone and email.
* Manage and update customer records in Jobber.
* Follow up on pending quotes, rebook follow-up visits, and handle rescheduling efficiently.
* Ensure customer satisfaction by tracking feedback and resolving issues promptly.
* KPI & Performance Tracking
* Track technician productivity (jobs completed, revenue per job, customer reviews, etc.).
* Maintain monthly reports on KPIs and communicate results to management.
* Support the achievement of monthly booking and revenue targets.
* Administration & Coordination
* Manage invoices, quotes, and payments through the CRM system.
* Maintain accurate documentation and ensure all job reports are completed and filed.
* Coordinate between technicians, suppliers, and customers to ensure smooth workflow.
* Assist with marketing admin (e.g. lead tracking, promotional offers, social media scheduling).
Qualifications & Skills
* Proven experience as a Business Administrator, Scheduler, or Operations Coordinator (preferably in a service-based business).
* Excellent organizational and multitasking skills with strong attention to detail.
* Confident communicator with excellent written and verbal English.
* Strong customer service mindset with the ability to handle queries professionally and efficiently.
* Experience using Jobber or similar CRM / field service management software is a major advantage.
* Proficiency in Microsoft Office and Google Workspace tools.
* Ability to work independently and remotely while staying accountable to team KPIs.
* Experience in the pest control, cleaning, or property maintenance sector is desirable.
