Our client is currently recruiting for a Communications Administrator. Located in Aberdeen, the role on a 12 month fixed term basis and offers the flexibility of office or remote working. ROLE The Communications Administrator is operationally focused and is required to provide communications administrative support to the project teams. RESPONSIBILITIES Arrange events by booking venues, sourcing appropriate materials, managing attendee responses, liaising with speakers/event providers, and making invoicing arrangements as necessary Work with the Corporate Communications team to manage and maintain the brand asset and digital library. This will include corporate guidelines Respond to customer service and media enquiries received by phone, email and through social media including gaining approvals where required. Some enquiries will involve giving information or directing to other organisations Collaborating with cross-functional teams: Working closely with different departments and teams within the organisation, such as marketing, HR, and executive leadership, to align communication strategies and ensure consistency and coherence in messaging To manage incoming applications and distribution of management packs to the funding boards aligned to the project. Review materials, presentations from business development, formatting, compliance with brand guidelines Responsible for Regroup meeting content and schedule, Conference Attendance Requests, Content request forms. Managing trackers, monitoring spend and internal communications. Coordinating external communication: Engaging with external stakeholders, such as clients, partners, and the media, to build and maintain positive relationships. This involves crafting and distributing press releases, manage inboxes for Corporate Comms and responding to emails Organising conference attendance forms, including travel arrangements, booking accommodations, and managing the budget Other administrative duties as required Follow all company policies and procedures and actively support the continual improvement of the business management system (BMS) to ensure the goals and commitments of our HSEQS policy are consistently met REQUIREMENTS Flexible and adaptable to changing priorities and deadlines. Knowledge of design software and/or basic graphic design skills are desirable. Attention to detail, ensuring accuracy and consistency in all communication materials.
