What We’re Looking For:
We are seeking a proactive and detail-oriented Team Assistant to support our legal team in either a hybrid or part-time position (three days per week in-office). The ideal candidate will bring strong organisational skills, initiative, and professionalism to ensure smooth day-to-day operations within our firm.
What You’ll Do:
* Open client files and prepare engagement agreements in LEAP for lawyer review.
* Schedule client meetings and consultations.
* Assist with billing, invoicing, debtor follow-up, and payments using LEAP and Xero.
* Liaise with the firm’s accountant, bookkeeper, and tech support as needed.
* Support lawyers with U.S. visa application forms, interview bookings, and document submissions.
* Manage mail, couriers, and time-sensitive filings to U.S. government agencies.
* Always comply with GDPR and data protection laws.
* Help organise office events, meetings, and staff inductions.
* Support office management and research projects as required.
* Prioritise tasks independently and identify potential improvements.
About You:
* At least two years’ administrative experience in a law firm or professional services environment.
* Experience using case management software such as LEAP and accounting software such as Xero.
* Organised with an ability to multitask and manage urgent deadlines.
* Strong verbal and written communication skills.
* High attention to detail when preparing and reviewing legal documents.
* Discretion when handling confidential information.
* Tech-savvy with proficiency in Microsoft Office and Adobe Acrobat.
* Familiarity with calendar management and electronic filing systems.
* Friendly, professional, and client-focused attitude.
* Proactive and confident, with strong initiative when working independently.
