The post holder will deal with day-to-day departmental issues relating to their area of work, to establish and take responsibility for office systems ensuring appropriate reporting and action is taken under the guidance of the Community Management team.
The post-holder is required to use their own initiative, judgement, organisational and communication skills to work to tight and multiple deadlines. The post holder will be responsible for the line management, support and supervision of all Community A&C staff employed within the hospital and other teams where delegated.
The post holder will be the point of contact for all administrative duties relating to arranging placements in secondary care for optometry higher qualifications across the health board. The post holder will work as part of a multi-disciplinary team and will provide expertise in the proactive management of placements. This includes ensuring the suitability and capacity of the eye clinic to host placements. They will be responsible for the monitoring and ordering of stock.
The postholder will provide a link between the health board and Health Education and Improvement Wales (HEIW) to ensure a smooth transition between completion of the academic programme to attending placements. This will include regular meetings and understanding of the educational processes, caseload and expectations for placements
This role involves frequently dealing with confidential and sensitive information.
Main duties of the job
The postholder will provide day to day office management and supervision for the Community A&C Teams and provide formal minute taking at a range of meetings.
Allocate placements for postgraduate optometrists in their health board ensuring the standard and quality requirements are met. Discuss placement progress and arrange meetings with trainees and HEIW as appropriate, by telephone, in writing and in person, escalating any issues to the Placement Lead in HEIW.

Essential criteria
* Educated in English and maths to GCSE standard (A -C) or equivalent experience
* RSA 111 or equivalent/experience
* NVQ Level 4 in Administration or equivalent/experience

* Supervisory qualification/experience

* Experience in working within the NHS or Higher Education Institution role.
