Office Administrator role serves as the central hub of the business, blending frontline customer service with operational support. The role acts as the welcoming face and voice of the business while ensuring the workplace runs smoothly behind the scenes. Responsibilities include front‑desk duties, diary management, procurement, general team support, and the organisation of critical operational EHS activities.
Responsibilities
* Facilities Management & Training Coordination: Manage the FM main contractor by raising purchase orders, approving invoices, monitoring subcontractors, and coordinating all EHS training programmes, including First Aid and IOSH courses. Maintain updated training records, certificates, and spreadsheets, manage the ECS programme, and ensure engineering address labels are current.
* General Office Administration: Coordinate meetings by booking rooms, scheduling appointments, preparing spaces with necessary equipment, arranging refreshments, and clearing rooms after use. Handle mail and logistics including processing incoming and outgoing post, signing deliveries, supervising the franking machine, and managing Royal Mail collections. Manage office supply inventory, maintain weekly invoices, keep kitchen stock, oversee shredding and confidential waste disposal, and liaise with Green Team Interiors for regular visits and events.
* Logistics & Finance: Book taxis, flights, and general travel arrangements for staff; coordinate office maintenance or repairs; log all incoming mail, prepare post invoices, provide suppliers with insurance certificates, and maintain lunch booking records for finance reconciliation.
* Sales Support: Assist the sales team by responding to customer enquiries via LiveChat and redirecting messages as necessary.
* Front of Office & Customer Service: Manage visitor reception, issue visitor passes, and maintain building security. Answer and screen all incoming communications, direct calls and messages to appropriate team members, provide out‑of‑office service during weekends and bank holidays, greet visitors with hospitality, maintain a visitor log, and facilitate cross‑charge to correct entities.
