About the Role
This role provides comprehensive administrative and coordination support to the Chief Operating Officer and, from February, the Chief Marketing Officer, with occasional support for other executives or projects as required. The purpose of the role is to enable senior leaders to focus on strategic priorities by managing diaries, travel arrangements, expenses, correspondence, and other administrative tasks efficiently and professionally. The position requires a high level of autonomy, discretion, and service orientation, with regular interaction and coordination across internal teams and external stakeholders. The successful candidate will demonstrate strong organisational skills, clear communication, and a collaborative approach, ensuring a positive and professional experience for all contacts.
Responsibilities
1. Prepare and produce correspondence, reports, presentations, agendas, and meeting minutes using a range of business software applications.
2. Manage and direct incoming calls, visitors, mail, and email, ensuring appropriate screening and routing.
3. Maintain accurate and organised files, records, calendars, and diaries.
4. Coordinate business travel arrangements, schedule meetings, and monitor expense tracking.
5. Leverage various IT systems and tools to efficiently perform role-related tasks.
Requirements
6. Demonstrate exceptional written and verbal communication skills.
7. Bring extensive experience in providing high-level administrative support.
8. Maintain meticulous attention to detail and accuracy in data entry and record management.
9. Exhibit advanced proficiency in Microsoft Office Suite and other relevant software applications.
10. Effectively prioritise tasks and manage competing deadlines with confidence.
11. Possess strong organisational capabilities to handle multiple responsibilities and shifting priorities.
