Job Purpose
The post holder will support the Financial Aid Manager in delivering financial aid programs. The role involves supporting enquiry management, providing guidance on financial aid options, assessing applications for support, and administering financial aid processes. You will ensure smooth daily operations and maintain high customer service standards.
Main Duties and Responsibilities
1. Provide guidance and support to students and stakeholders regarding financial aid options, eligibility, and application procedures. Act as the main contact for financial aid inquiries, ensuring excellent customer service.
2. Assist with administrative tasks for financial aid programs, including processing and assessing applications to determine eligibility and awards, and processing awards via the university’s student records system.
3. Collaborate with funders and sponsors such as the US Department of Education, Student Loans Company, and Student Awards Agency for Scotland.
4. Follow funder/sponsor procedures, maintain records, process data, and generate reports.
5. Work with university services and external funders to coordinate financial support for students effectively.
6. Ensure compliance with policies and regulations related to financial aid from funders and the institution.
7. Support reconciliation of financial aid accounts and monitor budgets, liaising with the Financial Aid Manager and Finance Office.
8. Contribute to developing and maintaining financial support resources for students and staff; participate in open days and orientation events to provide financial aid information.
9. Assist in continuous improvement initiatives by working with the team to enhance processes and the student/staff experience.
10. Engage in professional development to stay updated on financial aid policies and practices.
11. Perform other duties as appropriate for the role and grade.
Knowledge, Qualifications, Skills, and Experience
Knowledge/Qualifications
* Essential: Demonstrated competencies and relevant experience in a similar role; strong knowledge of Microsoft Word, Excel, and Outlook.
* Desirable: Knowledge of student financial aid schemes, government regulations, and financial systems.
Skills
* Essential: Excellent numeracy, IT, interpersonal, and communication skills; ability to develop specialist knowledge; excellent customer service; effective planning and prioritization; initiative; multitasking; attention to detail; teamwork; flexibility; positive attitude.
* Desirable: Proficiency in MyCampus.
Experience
* Essential: Experience in a busy, customer-focused environment; liaising with stakeholders.
* Desirable: Experience in financial administration or student support roles; use of financial systems like Agresso; experience with CRM or call management systems.
Terms and Conditions
