HR and Recruitment Coordinator. 6 Month Fixed Term Contract

Purpose: Responsible for all HR Administration and data management on HR system Bamboo. Support the development and implementation of HR and People strategies.


Responsibilities

* Provide administrative support with HR projects and all HR management and development (including recruitment and selection, policies/procedures, disciplinary & grievances, salary & contracts, training & development, talent management & succession planning, driving performance reviews and any other HR related issues).
* Coordinate day-to-day recruitment: post job ads, screen and shortlist candidates, produce interview agendas, attend and arrange interviews. Coordinate collection of references, DBS checks and security clearance.
* Ensure all relevant documentation is received as necessary on or before the first day of employment.
* Onboarding/Induction: support managers and new starters to ensure a positive and inclusive experience. Manage onboarding administrative process for new starters; prepare contracts, offer letters and supporting documents, onboard to HR systems, arrange company induction, and arrange probation reviews.
* Leavers: ensure leavers check lists are completed by managers and all HR allocated tasks are complete. Produce resignation acceptance letters using templates. Calculate any outstanding accrued holiday/outstanding payments for leavers.
* HR Administration: write and quality check communications with employees; continuously improve documents and processes; produce employment letters for promotions, changes in roles, disciplinary processes, grievances, absences, and other communications using templates; maintain up-to-date HR records in Bamboo; provide administrative support for employee benefits; produce reports on HR metrics (headcount, gender diversity, new hires, leavers, turnover, retention, absences) and update Org Charts; record payroll adjustments; coordinate training and HR initiatives; administer parental leave, maternity, paternity, shared parental leave and flexible work requests.
* HR Information System: maintain Bamboo HR ensuring data integrity, accuracy, and regular audits.
* Holiday: administer holiday booking systems; manage off-days and office coverage; issue part-time holiday allocations and calculate leaver holidays.
* Absence Monitoring: keep accurate records of sick leave and update payroll for sick pay; chase up Return to Work Interview records and store records in Bamboo HR.
* Employee Relations: provide HR administrative support for employee relations and stay up to date with UK employment law; prepare supporting documentation for employee relations.

Knowledge

* Knowledge of UK employment law and employment best practices.
* Excellent command of English (verbal and written).
* Intermediate/advanced knowledge of Microsoft Office (Excel, PowerPoint, Outlook, Word, Teams).
* High level of accuracy and numeracy.
* Understanding of Health & Safety regulations.

Experience

* Minimum 2 years administrative experience, ideally in a Human Resources role.
* Experience or exposure to recruitment.
* Experience drafting and responding to routine HR queries and correspondence.
* Experience drafting employment contracts using company templates.


Essential

* Hold a full UK driving licence; ability to work from Sunbury and Colnbrook.
* A strong interest in HR and enthusiasm to study CIPD qualifications.


Desirable

* Experience administering a HRIS (BambooHR) and related calendars.
* CIPD level 3 qualification.
* Knowledge of local area.
* Experience in HR for the logistics/freight industry.

Location: Colnbrook and Sunbury. Hours: Monday to Friday 8:30–17:30 with 1 hour lunch.
