Overview
Join to apply for the Management Team Secretary role at NHS Scotland. This position provides comprehensive confidential secretarial and administrative support across the Management Team’s remit.
Responsibilities
* Provide a confidential secretarial and administrative service to the Management Team.
* Plan, schedule and coordinate meetings, including preparation of agendas and minutes.
* Maintain accurate, up-to-date records and filing systems.
* Handle confidential correspondence and information with the highest degree of discretion.
* Prioritise tasks and work independently under pressure while maintaining quality standards.
* Support the collection, collation and processing of statistics within tight deadlines.
* Assist with the use of staff management systems such as SSTS/Staff bank.
* Maintain professional presentation and communication skills at all times.
Qualifications
* HNC or equivalent in Business Administration, Secretarial Studies, Public Administration or relevant discipline.
* Minimum 5 years experience as a department or personal secretary.
* Strong interpersonal and customer‑care skills.
* Excellent verbal and written communication abilities.
* Organisational and planning skills with an eye to detail.
* Proficient in Microsoft Office suite (Word, Excel, Outlook).
* Ability to manage confidential information with diplomacy and discretion.
Desirable Experience
* Previous experience as a department or personal secretary.
* Working knowledge of SSTS/Staff bank system.
* Experience in collecting and processing statistical data within set deadlines.
* Team‑working attitude and strong presentation skills.
* Previous supervisory experience.
Contract & Working Pattern
Contract type: Permanent part‑time (19 hours per week). Salary will be pro‑rated.
Working pattern: Wednesday 12:30 – 17:00, Thursday 09:00 – 17:00, Friday 09:00 – 16:30.
