Medical Recruitment Lead *Internal*

The closing date is 27 May 2026

To provide a comprehensive medical recruitment service to the Trust; ensuring we attract, identify, and hire the best-fit talent to meet our immediate vacancy needs and long-term strategic goals.

Ensure a professional, value for money service, operating within employment legislation, including right to work in the UK checks following guidance from the Home Office, and HR best practice.

Provide a reliable information and advisory service to recruiting Managers, current staff and prospective employees; ensuring that all applicants experience an excellent candidate journey


Main duties of the job

* To be the key point of contact on Medical Recruitment and engagement matters for all internal and external stakeholders.
* Be a Subject Matter Expert (SME), advising managers on all aspects of medical recruitment processes, ensuring compliance with Trust policies, procedures and values, UKVI requirements and UK employment legislation.
* Using and maintaining Trac, NHS Jobs in line with local procedures to support the recruitment process and maintaining Electronic Staff Record (ESR), ensuring the database is updated accurately and in a timely manner from both Trac and NHS Jobs; and manual data entry.

Disclosure and Barring Service

This post is subject to the Rehabilitation of Offenders Act (Exceptions Order) 1975 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service (formerly known as CRB) to check for any previous criminal convictions. The cost of the DBS must be met by the successful candidate(s) through salary deduction. DBS charges are as follows if applicable to the post:

Standard Check: £21.50 + Administration cost of £6.50 = £28.00 deducted from salary over a 4 month period or a one‑off payment.

Enhanced Check: £49.50 + administration cost of £6.50 = £56.00 deducted from salary over a 4 month period or a one‑off payment.

Person Specification


Qualifications

* Qualified to degree level, or equivalent relevant professional / work experience.
* Public Sector (particularly NHS) or Commercial Staffing/ Agency experience.


Experience

* Significant senior administrative experience in a large and complex organisation.
* Experience of working in medical staffing and/or recruitment.
* Ability to effectively manage changing priorities in the working day.
* Ability to prioritise workload to meet deadlines.
* Ability to produce and maintain a high standard of work.
* Able to work independently and as a member of a team.
* Experience of working with an ATS (Trac) and/or recruitment system/s that utilise technology.
* Experience of line management of other staff including appraisals, training and day to day delegation of work.
* Experience of report writing for a variety of audiences, presenting and advising senior stakeholders.
* Experience of exploring alternative means of identifying suitable candidates.
* Experience of liaising with staff at all levels.
* Experience of bulk recruitment and attracting candidates into hard to fill posts.
* Working in NHS Recruitment.
* Knowledge of Terms and Conditions for NHS Medical and Dental Staff.
* Demonstrable track record in innovative recruitment solutions. Retention strategies.


Knowledge

* Up to date knowledge of UKVI regulations and requirements.
* In depth understanding of administrative processes relating to recruiting staff.
* Working knowledge of Employment legislation as it applies to hiring staff in the UK (including equality and diversity).
* Understanding of issues relating to Medical Staff recruitment.
* Knowledge of using Allocate, Health roster, ESR, +Us, and other NHS rostering and software systems.
* Knowledge of UK Visa Sponsorship Management System (SMS).


Skills and Aptitudes

* Effective communication and interpersonal skills – able to converse professionally and confidently with managers and staff at all levels of the organisation.
* Able to produce written work – documents and reports – to a high standard.
* Strong skills in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
* Competence in using email systems and video conferencing platforms like Microsoft Teams.
* Comfortable adopting new digital technologies to enhance workplace efficiency.
* Excellent negotiation and influencing skills.
* Commercial aptitude and commitment to prudent use of trust finances.
* Ability to provide a customer‑focused approach.
* Ability to use persuasive and motivational skills.
* Effective team worker.
* Ability to prioritise daily and longer term priorities, where there are conflicting demands.
* Ability to handle conflict and manage challenging conversations and deliver difficult messages.
* Work in a calm and professional manner when under pressure.
* Ability to work to tight deadlines and maintain accuracy and attention to detail.

* Ability to identify recruitment trends and apply this to developing a recruitment plan.

* Able to travel independently to Trust sites across Cumbria.
