Role Description
This is a full-time on-site role for a Receptionist located in Kingston Upon Hull. The Receptionist will be responsible for day-to-day tasks, including managing the front desk, handling phone calls, greeting and assisting visitors, and ensuring that clerical tasks are completed efficiently. The Receptionist will also provide exceptional customer service and maintain clear communication with clients and team members.
Responsibilities
* Sales and Marketing: Ability to cover viewings in exceptional circumstance (full training on products to be provided).
* Ensuring full product and service knowledge.
* Actively promoting Additional Services and Short Stay Bookings such as: Meeting Rooms, Co-Working, Connectivity, Catering, Printing, Postage etc.
* Customer Service: Providing a world-class front of house service to both the building occupiers and FigFlex business centre clients.
* Involvement in client move in / out procedures and completion of associated paperwork.
* Ability to maintain a professional and customer obsessed culture.
* Ensure preparation and maintenance of all client files / records.
* Handling client enquiries and acting in a timely fashion.
* Facilitating the set-up of client’s connectivity and telephony systems, providing support where necessary in conjunction with FigFlex Offices chosen providers.
* Ensuring reception and all communal areas are welcoming, clean and tidy, safe and professional at all times.
* Ensuring all meeting/training rooms are to a high standard in all areas of the provision.
* Maintenance and standards: Ensure all security procedures are always maintained such as Contractor/Visitor Sign In Sheets; conduct regular checks of FigFlex Offices and Building areas to ensure well presented and issues/defects are reported and resolved; ensure consumables are well stocked in Business Lounges/Kitchens.
* Adhere to all company policies and procedures.
* Finance: Raising ad/hoc invoices for Additional Services and/or Short Stay Bookings; Checking payment has been received prior to granting access to any Services; Handling invoice queries from Clients & communicating payments to Internal Accounts Team; Understanding business policy / procedure for non-payment or late payments and being involved in the process at Centre Level.
Competencies
* Excellent communication and interpersonal skills
* Basic knowledge of Microsoft systems
* Ability to use bespoke systems with full training
* Positive personality and can-do solution focused approach to problem solving
* Relevant experience in the serviced office or office reception role desirable but not essential
* Team player and ability to plan, prioritise and implement workload
* Full training will be provided on product/service knowledge and technical aspects of the role
