Main duties of the job
Key responsibilities -
Handle all incoming calls and digital requests from patients
Manage all face-to-face queries in an efficient and empathetic manner
Be confident and comfortable working on different computer packages
Support all clinical staff with tasks as requested
Liaising with multi-disciplinary teams and secondary care as required
Working in a team is key but being able to show initiative at times, is also important

Job summary
Balmore Park Surgery is a busy doctors surgery supporting nearly 20,000 patients. The Patient services team is the face of the surgery and first point of contact for our patients.
Your main objective is answering incoming calls and digital request forms from patients needing appointment management, as well as assisting patients with general enquiries.
Helping patients who attend the practice face to face with their enquiries.
Responsible for the distribution of information, messages and enquiries for the clinical team, liaising with multi-disciplinary team members and external agencies such as secondary care and community service providers.
Primary key responsibilities
The following are the core responsibilities of the Patient Services Team member. There may be, on occasion, a requirement to carry out other tasks. This will be dependent upon factors such as workload and staffing levels:
Maintain and monitor the practice appointment system.
Process telephone and e-requests for appointments
Answer incoming phone calls, transferring calls or dealing with the callers request appropriately.
Signpost patients to the correct service
Initiating contact with and responding to, requests from patients, team members and external agencies
Photocopy documentation as required.
Data entry of new and temporary registrations and relevant patient information as required.
Input data into patients healthcare records as necessary
Direct requests for information, i.e., SAR, insurance/solicitors letters and DVLA forms to the Clinical Administration Team
Manage all queries as necessary in an efficient manner.
Maintain a clean, tidy, effective working area at all times.
Support all clinical staff with general tasks as requested.
Work in accordance with GDPR guidelines.
Additional adhoc tasks requested by clinical staff or management.

Person Specification
Qualifications
* - Minimum requirements: GCSEs, OLevels or equivalent.
* - Significant experience of working as part of a team for a minimum
* of 2 years
* - Experience of working with the general public both face to face
* and on the phone.
* - Experience of working in a pressurised environment and the ability
* to make appropriate decisions
* - Excellent command of the English Language, both spoken and written
* - Demonstrates ability to communicate challenging or urgent
* information using appropriate communication skills and techniques.
* - Ability to focus on completing tasks and actions within tight timelines
* - Demonstrate an ability to pay attention to detail when recording
* information.
* - Experience of working in a GP surgery
* - Experience of working with people with challenging behaviours
* and dealing with them in a constructive manner
* - Knowledge of using clinical information systems in particular EMIS
