Job Overview
We are looking for a support secretary for Women’s & Children’s Division at Lancashire Teaching Hospitals. The role involves providing secretarial and administrative support to consultants, junior medical staff and other staff, facilitating communication between medical staff, GPs, patients, relatives and the public.
Main duties of the job
The position requires excellent organisational skills, flexibility, initiative and professionalism. You will cover aspects of the medical secretary’s team leader role during periods of absence.
Detailed responsibilities
* Be the point of contact for day‑to‑day inquiries, referring where necessary to senior staff.
* Provide administrative and secretarial support to consultants and specialist nurses.
* Act as the first point of contact for patients and clinicians, working independently with minimal supervision.
* Manage electronic calendars for consultants, organising meetings and taking minutes as required.
* Maintain an electronic diary accurately, communicating diary commitments effectively.
* Coordinate meetings, including arranging venues and refreshments for off‑site meetings.
* Follow up on issues with appropriate managers to ensure deadlines are met.
* Maintain efficient administrative systems including message taking.
* Ensure files and papers are available and up to date, providing briefings for daily activities and highlighting deadlines and potential conflicts of interest.
* Attend meetings to take minutes and produce or distribute documentation as required.
* Support the team by providing secretarial and administrative assistance when other members are absent.
* Use databases and computer packages to maintain records and generate statistics for analytical purposes.
* Transcribe correspondence and reports from audio dictation, using medical terminology; daily use of TPRO.
* Coordinate and liaise with junior medical staff, distributing rotas where necessary.
* Utilise local or Trust case note tracking systems.
Person specification
Education & Qualifications
* Good general education. Minimum GCSE English and Mathematics grade A‑C.
* Good typing speed.
* RSA 3 typing qualification.
* ECDL or equivalent experience.
Knowledge & Experience
* Efficient use of Microsoft Word, Excel, PowerPoint, email and intranet.
* Ability to manage own workload and work independently as part of a team.
* Experienced and competent minute‑taking.
* Knowledge of medical terminology.
* Commitment to continuing personal and professional development.
* Previous admin experience in NHS environment.
* Use of Trust IT packages such as Flex, TPRO, Evolve.
* Advanced knowledge of medical terminology.

* Liaise and coordinate with internal and external departments.
