Offer description

Redwell Medical Centre is looking for an Administration Clerk/Receptionist to join our friendly office team for 25 hours per week.

Hours

Mon 8.30 - 1.30

Tues 1.30 - 6.30

Wed 1.00 - 6.00

Fri 8.30 - 1.30

You will also be expected to work on Saturday mornings (done on a rota basis - 1 in every 8 Saturday) between 8am and 11am, which will be additional and paid as overtime.

You will be expected to be available for additional overtime shifts to cover annual leave which is on a rota basis, given 4-6 weeks in advance. You may also need to occasionally cover for sickness.

Interviews will be held from 29th July.


Main duties of the job

We are looking for an enthusiastic, reliable and hardworking individual with good organisational and communication skills. The role will include a range of reception/admin duties which can include: answering the phone, dealing with general enquiries, booking appointments, scanning records onto the clinical system, record filing etc.

Experience is desirable but full training will be given to the right candidate.


About us

Our Practice consists of 4 Partners (3 GPs and 1 Advanced Pharmacist Practitioner), 4 Salaried GPs, 1 Advanced Nurse Practitioner, 3 Practices Nurses, 1 Nurse Associate and a HCA. We have a friendly administration team of approx 14 staff led by the Operations Manager, Business Manager, Office Manager and Admin Support Manager. We also work closely with the PCN (Primary Care Network) and use the services of a Pharmacist, Mental Health Worker, Paramedic Home Visiting Service, Physiotherapists and Social Prescribers.

We are an EMIS web practice with approximately 12,000 registered patients living in the Wellingborough area and surrounding villages.

MedicalSupport Team Member

Responsible to: Office Manager

SPECIALREQUIREMENTS OF THE POST:

Abilityto use own judgement, resourcefulness and be able to work under pressurewithout direct supervision.

Abilityto perform accurately any function requested of them and to assist the practiceto run efficiently.

Tohave excellent communication skills and patience.

Tobe reliable and flexible.

Toobserve strict confidentiality on all matters relating to the practice and itspatients.

MAINDUTIES AND RESPONSIBILITIES

Reception/Admin

Ensure an effective and efficient reception service isprovided to patients and any other visitors to the practice.

Dealwith all general enquiries, explain procedures and make new and follow-upappointments.

Useyour own judgment and communication skills to ensure that patients who needurgent consultation are seen in a logical and non-disruptive manner.

Explainpractice arrangements and formal requirements to new patients and those seekingtemporary cover and ensure procedures are completed.

Receiveand make telephone calls as required.Divert calls and take messages, ensuring accuracy of detail and promptappropriate delivery.

Enterrequests for home visits into the visit book when requested, ensuring carefulrecording of all relevant details and where necessary refer to Duty Doctor.

Fileprescriptions and forms ready for collection by patients and pharmacies.

Advisepatients of relevant charges for private (non General Medical Services)services, accept payment and issue receipts for same.

Giveout results when necessary.

Enterpatient information on to the computer as required. Change of address etc.

Scan documents onto the patient's record accurately.

Patientnotes and correspondence:

Retrieveand re-file records as required, ensuring strict alphabetical order is adheredto.

Ensurecorrespondence, reports, results etc are filed/scanned promptly and in thecorrect records, ensuring that all recent correspondence is available whenpatients are seen.

Telephone

Toanswer telephone calls promptly and politely with understanding of eachpatients problems.

Receiveand make telephone calls as required. Divert calls and take messages, ensuringaccuracy of detail and prompt appropriate delivery.

General

Liaisewith patients, hospitals, Social Services, Health Authority and other outsideagencies

Covering duties for holidays and sickness when required.

Enterpatient information onto the computer as required.

Undertakeany other additional duties appropriate to the post as requested by the Partners or management team.

Patientconfidentiality must be maintained at all times

Youare requested to be flexible and the employers reserve the right to alter suchfixed hours as may be considered necessary to ensure that the Medical Centreruns smoothly.

Person Specification


Qualifications

* Educated to GCSE level
* GCSE in Maths and English
* NVQ Level 2 in Health & Social Care


Experience

* Previous experience of working in a GP surgery is preferable but full training will be given to the right candidate.
