Job Title: HR Shared Service Administrator
Location: London or Newton Aycliffe
Salary: £28-32k DOE
Position type: 15 month FTC
Your new role
Here at Hitachi Rail, we have a unique and exciting opportunity for an HR Administrator (Shared Services), to provide an effective and efficient HR shared service to Hitachi Rail Limited. Responsible for the workforce administrator of employee life cycle and produce all recruitment and contractual documentations for HR records systems
Specifically, you will be responsible for the following deliverables:
1. Providing a professional and responsive service to customers both internally and externally
2. First line support for employees queries
3. Provide information to managers and employees about HR policies, procedures and processes
4. Support all aspects of the company HR activities such as; new starter admin, probations, references, induction, employee changes, leaver process, references, annual salary and bonus reviews.
5. Responsible for maintenance of relevant employee personnel files i.e. contracts, benefits, medical records, training records, competency and appraisals.
6. Monthly Workday (HiNext) audit
7. Goods receipting invoices and creating POs for the HR dept
8. Workday/SAP data entry for new starters, employee changes and leavers.
9. Arranging medicals, OH referrals
10. Managing sensitive and confidential matters including personnel relations, employee relations and organisational changes
11. Support with the monthly payroll data submission
12. Coordinate and deliver new starter induction
13. Carrying out other duties and projects appropriate to the grading of the post as may be directed by the Head of HR Operations
14. To be aware of, actively promote, and implement Hitachi’s ethos, culture and values.
15. To be involved in Hitachi Rail Limited staff development and training and participate in PDP procedures.
About you
16. Previous administrative experience with an HR Department, including contracts and offer letters.
17. Excellent Planning, prioritising and organising skills
18. Awareness and understanding of HR practices
19. Sound knowledge of, and compliance to HR legislation
20. Good written and verbal communication skills
21. Attention to detail
22. Ability to work within a pressured environment whilst maintaining a high level of accuracy
23. Ability to issue/create contracts and offer letters. Correspondence in accordance to promotions, Bonus and leavers.
24. Position holder must be able to interface effectively with all levels of personnel both within and outside the company.
25. Intermediate IT skills – typically Word, Excel, Powerpoint
26. Experience of and commitment to the effective implementation of equal opportunities and CSR policies.
27. Ability to communicate effectively both orally and in writing
28. Commitment to working as part of a team
29. An understanding of Workday and SAP for HR
Qualifications
30. English & Mathematics GCSE level or equivalent
Desirable Requirements
31. Previous experience in a rail or manufacturing company
32. CIPD qualified level 3 or equivalent experience
33. SAP/ Workday System experience
