Senior Claimbacks Coordinator
As the Senior Claimbacks Coordinator, you will serve as a key subject matter expert, hands-on processor, and team supervisor within the Claimbacks function. In this pivotal role, you will be responsible for managing and executing the full Claimback process while providing oversight and guidance to the Claimbacks Coordinators. You will ensure that all activities are delivered accurately, efficiently, and in accordance with Group policies and timelines, driving the continuous improvement of processes to maximise financial recovery and value for the organisation.
Your role will involve balancing operational responsibilities with leadership duties—personally handling the most complex and high-value claimback cases while supervising day-to-day team operations to maintain optimal performance and workflow management. You will monitor workloads, prioritise activities, and provide training, coaching, and support to ensure the team meets quality and productivity standards.
As the primary escalation point, you will investigate and resolve complex queries or disputes, liaising with internal departments, suppliers, and external stakeholders as necessary. You will also play a key role in identifying process enhancements, implementing best practices, and contributing to reporting and analysis that support informed decision-making across the wider finance and commercial teams.
Principal Accountabilities
1. Supervise the delivery of the Claimbacks process within a small, collaborative team, ensuring consistently high levels of service and expert advice.
2. Provide day-to-day guidance, mentorship, and workload management for junior team members to maintain quality, efficiency, and service consistency.
3. Act as the first point of escalation for complex claimback queries from branches and sales teams, taking full ownership of their investigation and resolution while offering subject matter expertise.
4. Independently perform and audit all administrative tasks related to the claimback process, ensuring accuracy, timeliness, and compliance from both supplier and branch/sales perspectives.
5. Lead monthly analysis efforts in collaboration with the Claimbacks Pricing Manager to identify and maximise potential claimback opportunities, engaging directly with suppliers to resolve discrepancies and close gaps.
6. Deliver in-depth support and training to branch and sales teams on all aspects of the Claimbacks process, acting as the team’s primary functional expert.
7. Develop and maintain documentation of best practices, standard operating procedures, and ways of working, proactively seeking opportunities to improve, simplify, and automate claimback processes.
8. Take ownership of complex data entry and analysis tasks related to Price Changes, Contract Links, Promotions, Customer Deals, and system access requests for POS and Deal Manager.
9. Provide cross-functional support to the wider commercial team, contributing to the successful delivery of broader business initiatives and continuous improvement projects.
