The Role
The Patrons team runs two highly successful schemes, the Director’s Circle and the Young Patrons’ Circle generating vital philanthropic support for the museum. Both groups comprise high-profile donors, who, in return for their support, enjoy exclusive benefits, a close relationship with the museum and access to inspiring events, from behind-the-scenes tours to studio visits and day trips, all led by the museum’s expert curators. Our programmes reflect the scope of the V&A’s magnificent collections.
The Patrons' Assistant, Young Patrons' Circle provides essential administrative support needed to deliver our dynamic scheme to an exceptional standard. The post-holder works closely with a fast-paced, successful and creative team, assisting with membership renewals and sign ups, processing payments, providing membership benefits to patrons, and supporting with exclusive after-hours events for the YPC primarily and at times, the Director’s Circle.
What you will be doing:
1. Support the team with the administration of the Patrons’ programme, including drafting renewal and thank you letters.
2. Process new and renewed memberships using the CRM database, and Finance systems and issue receipts.
3. Support with the efficient delivery of Patron benefits, including membership cards, booking events, and collating the Annual Review.
4. Deliver high-quality donor care as the first point of contact for Patrons making enquiries via the team inbox and over the phone.
5. Maintain up-to-date and concise records on Patrons and prospective Patrons on the V&A’s CRM database.
6. Create event guest lists and mailing lists using the CRM database and Excel with confidence and accuracy. Respond to and record RSVPs and event attendance.
7. Support the planning and scheduling of frequent out-of-hours events.
8. Assisting at events on the day and help to ensure an outstanding experience for Patrons.
9. Assist with mailings, digital communications, such as e-newsletters and social media.
10. Assist the team in recruiting new Patrons by placing advertising in the V&A magazine and preparing e-invitations in liaison with the Development Designer.
What we are looking for:
• Proven organisational and administrative skills delivered with accuracy and attention to detail.
• Excellent standard of written English and highly numerate.
• Excellent interpersonal skills and professional demeanour, written and in-person, with the ability to adapt your communication style for different groups.
• Competent handling and processing large volumes of confidential data in accordance with Data Protection legislation.
• Experience of using MS Office, Excel and other relevant IT systems to an intermediate / advanced level and previous experience of working with CRM databases.
• Flexibility and the ability to manage multiple tasks.
• Interest in the V&A’s mission and a wider knowledge of the arts and culture sector.
• Respects others’ expertise, time, perspectives and contribution.
• Takes responsibility for delivering on actions, achieving high-standards and learning from mistakes.
• Open to change, new ideas and suggestions; looks for opportunities for improvement and self-development.
