Northumbria Healthcare Facilities Management (NHFM) is looking for an organised, motivated and confident Health & Safety Assistant to join our Estates & Facilities team.
In this role, you will work closely with the Health & Safety Advisor to support the day‑to‑day running of our Health & Safety function. You will maintain and update essential compliance systems, monitor the Health & Safety inbox, produce reports and dashboards, and support audits and inspections.
Responsibilities
* Maintain the risk assessment log and disseminate it to business units weekly.
* Maintain an action log of audit and inspection findings and monitor completion status.
* Triage queries from staff, contractors and other departments via the Health & Safety inbox.
* Maintain training matrices and ensure up‑to‑date records of staff compliance with statutory and mandatory H&S training.
* Produce bespoke COSHH files for clinical and non‑clinical departments and maintain the inventory on intranet.
* Perform administrative tasks such as answering phone calls, taking messages, photocopying, filing and post.
* Provide operational support for audits, inspections and incident follow‑ups.
* Collect and input accurate data into relevant H&S systems and databases.
* Support NHFM teams and contractors to ensure compliance and maintain H&S standards.
* Monitor the trust Datix system and liaise with staff to ensure timely completion of live Datix.
* Assist H&S Advisor with investigations, site H&S audits, compilation of reports and action plans.
* Assist in reviewing contractor safety documentation including permits to work, RAMS and ensure proper induction and compliance.
Qualifications
* Strong IT skills, particularly Microsoft Word, Excel, PowerPoint and Outlook.
* Experience with risk assessment logs, COSHH inventories and training matrices.
* Good communication skills and ability to handle sensitive information.
* Ability to work independently, manage workload and meet deadlines.
* Willingness to travel to other NHFM and Trust sites when required.
* Relevant health & safety qualification preferred (e.g., IOSH or NEBOSH).
