If so, we’re looking for a highly efficient, detail-oriented Office Manager and Executive Administrator to support our Managing Director, Head of People & Culture, Midlands Regional Director & Commercial Manager, and the wider Midlands leadership team.
Based at our Rugby head office, you will ensure the smooth operation of our head office as well as occasional travel to our Oxford Hub in Wantage. You will play a vital part in our vibrant team culture.
What You’ll Be Doing
Executive Support
* Act as a first point of contact, managing all correspondence, including phone calls, emails, and letters, with professionalism and discretion
* Provide high-level administrative support to multiple Directors, balancing competing priorities and working confidently across different stakeholders
* Manage complex diaries, schedule appointments, organise travel and accommodation, and take ownership of the annual meetings schedule
* Plan and coordinate meetings, prepare agendas, take detailed minutes, and distribute them accordingly
* Compile reports, presentations, and correspondence using Microsoft Excel, PowerPoint, and Word
* Handle confidential information with the utmost professionalism
Office Management
* Oversee all aspects of office operations to ensure a clean, organised, and professional environment
* Manage office facilities, liaising with cleaning and our internal teams to keep standards high
* Maintain office equipment, stationary supplies, and administrative systems, ensuring processes are efficient and up to date
* Welcome visitors, manage reception duties, answer calls, and coordinate the ‘Sign-In’ system
* Organise team building, charity events, and staff engagement activities, championing a positive and inclusive office culture
* Support the onboarding of new employees to the Central Services and Midlands teams
Administration & Compliance
* Maintain and regularly review company filing structures, including contracts, tax returns, bond guarantees, and certificates
* Compile monthly KPI and Board reports for leadership review
* Manage occupational health surveillance appointments and driver compliance processes
* Conduct research and support projects to improve administrative efficiency
* Provide additional support as required to reduce leadership workload and contribute to a “best in class” administrative service
Customer Service & Communication
* Deliver timely, courteous, and professional customer service to internal teams, clients, and external partners
* Act as the go-to contact for the Central Services and Midlands teams, fostering strong communication and collaboration
* Demonstrate excellent time management and organisational skills in a fast-paced environment
What You’ll Bring
* Proven experience in executive support, office management, or senior administrative roles
* Exceptional organisational and multitasking abilities, with a proactive, solution-oriented approach
* Strong communication and interpersonal skills, able to build relationships at all levels
* Tech-savvy, confident using Microsoft Office suite and Google Workspace
* A calm, can-do attitude with the ability to work independently and as part of a team
