About the Role We are seeking an experienced Executive Assistant to provide high-level administrative and organisational support to our Operations Director. This pivotal role ensures the smooth running of daily activities, enabling the Director to focus on strategic priorities. The Executive Assistant will facilitate effective communication, manage complex scheduling, and support various operational tasks to enhance efficiency and productivity. Key Responsibilities * Manage the Operations Director’s diary, including scheduling meetings, appointments, and travel arrangements. * Prepare and proofread correspondence, reports, presentations, and other documents for the Director. * Act as the primary point of contact for the Director, handling communications and ensuring urgent matters are addressed promptly. * Organise and coordinate meetings, including agenda preparation, material distribution, minute-taking, and logistical arrangements. * Attend meetings as required to take notes, track action items, and follow up on deliverables. * Assist with budget tracking, invoicing, and preparation of basic financial reports related to the executive office. * Support the Director with special projects and initiatives, conducting research and preparing briefing materials as needed. * Maintain and organise the Director’s files and workspace to ensure optimal productivity. * Perform additional administrative tasks as required to support the Director in achieving strategic objectives. * Maintain strict confidentiality and discretion when dealing with sensitive information. Essential: * Excellent communication and negotiation skills, with the ability to influence internal teams. * Minimum of 3 years’ experience in a senior administrative or executive assistant role. * Exceptional organisational and multitasking abilities. * Proficiency in Microsoft Office Suite, particularly Excel and Word. * Professional demeanour and the ability to work under pressure with minimal supervision. * Proactive and solution-oriented approach to work. Desirable: * Bachelor’s degree in Business Administration, Communications, or a related field. * Knowledge of the construction industry.
