Join Barnet Lane Clinic as a Personal Assistant to the Hospital Director, where you’ll play a key role in supporting the effective day-to-day running of the hospital while working closely with senior leadership.
In this varied and rewarding role, you will provide efficient, professional and confidential administrative and secretarial support to the Hospital Director, ensuring priorities are managed effectively and urgent matters are addressed with initiative and professionalism.
You will coordinate diaries, organise meetings and events, prepare reports and presentations, arrange travel and accommodation where required, and ensure correspondence, emails and documentation are managed promptly and accurately.
You’ll be working in a specialist Complex Care and Recovery Service (CCRS), supporting adults with complex needs who benefit from a more tailored, long-term recovery approach beyond standard care settings.
You will also support the wider administration function by maintaining effective filing systems, liaising with external agencies and stakeholders, preparing agendas and taking minutes for meetings. Alongside this, you will oversee the Reception team and contribute to maintaining a safe, secure and welcoming environment for staff, patients and visitors.
This is a Full Time position of 37.5 hours a week.
Other responsibilities:
* Undertake any other tasks requested that are commensurate with the post holders’ level of responsibility
* Comply with the guidelines laid down regarding confidentiality, disclosure of information, and Data Protection. To maintain as confidential at all times information relating to patients, staff and hospital business.
* Participate in the Company’s appraisal process
* Maintain mandatory and professional development requirements
* To attend meetings relevant to the department, and internal/external training events as and when required.
* To take personal responsibility for ensuring the work practices and the environment meet the requirements of the Health and Safety at Work and legislation and reports all deficits to management.
* Undertake any other reasonable request as made by your Line Manager.
* To provide cover for colleagues within the department when they are absent and/or on annual leave.
To be successful in this role, you will need:
* Minimum 3 years of being a PA ideally gained in a high profile commercial environment – desirable
* Experience of working with Senior Executives – desirable
* Experience of minute taking and expert in MS word, Excel, Power Point and Outlook – essential
* Secretarial qualification/ experience – essential
* ECDL, RSA II, Typing/Word Processing or equivalent – desirable
* NVQ III Business Administration – desirable
* 4 GCSEs at Grade C or above (including English and Mathematics) or equivalent - desirable
* Shorthand 100 wpm – desirable
