ARK Resettlement Services (ARKRS) aims to reduce reoffending across London by providing housing and social services to individuals transitioning from the criminal justice system. Our vision is to empower people with the skills, support, and independence needed to move away from crime and transform their lives.
We are seeking a proactive and highly organised Executive Assistant to support our CEO and contribute to the wider success of ARKRS.
Overall Objectives Provide high-level PA and administrative support to the CEO.
Coordinate professional learning and development events across the organisation.
Manage daily operations of the ARKRS Office and Community Hub.
Support strategic goals and contribute to service improvements.
Key Responsibilities 1. Executive Support to CEO
Proactively manage the CEOs diary and inbox.
Draft and respond to correspondence on the CEOs behalf.
Attend meetings, take minutes, and accompany the CEO to external engagements.
Coordinate meetings and liaise with internal and external stakeholders.
2. Administrative & Secretariat Support
Provide administrative support to other senior staff as required.
Contribute to cross-team projects and collaborative initiatives.
Prepare reports, presentations, and documents using MS Office.
3. Office & Hub Management
Oversee the day-to-day running of the ARKRS Office and Community Hub.
Manage bookings, equipment, supplies, and mail handling.
Maintain a professional and welcoming office environment.
Liaise with colleagues using the Hub for programme delivery.
4. Event & Learning Coordination
Support the planning and delivery of internal and external training/events.
Coordinate logistics, liaise with suppliers, maintain records, and update website/social media.
Provide on-site event support when needed.
5. Stakeholder Engagement & Communication
Develop systems for participant feedback and engagement.
Ensure effective communication for events (e.g. joining instructions, FAQs, surveys).
6. Financial & Quality Oversight
Process invoices and follow procurement protocols.
Monitor event performance, participant satisfaction, and impact metrics.
7. Health & Safety / Risk Management
Conduct risk assessments and manage Health & Safety procedures across sites.
8. Operational Improvement
Support the implementation of new systems to improve efficiency.
Collaborate on process improvements to benefit staff and Service Users.
9. Marketing & Communications
Assist with promotion of ARKRS events through the website, social media, and newsletters.
Work closely with marketing and digital teams to align messaging.
Other Duties Represent ARKRS professionally at all times.
Help direct staff and Service Users to appropriate services.
Provide ad hoc HR support where necessary.
Undertake additional tasks as required by the CEO.
