We need a QuickBooks whizz to make the most of our setup. This is a great opportunity to use your expertise with QuickBooks and system optimisation to support a youth charity in managing payroll, HR, and scheduling efficiently.

But behind every youth club, detached session, or community project is a mountain of admin that keeps everything running. Right now, our small team is spending too much time wrestling with QuickBooks—time we’d much rather spend supporting young people. By helping us streamline our setup, you’ll be giving us the gift of time. Time to plan better sessions. Time to listen more closely. Time to reach the young people who need us most. You’ll also be giving us confidence. With your help, we’ll know our payroll is accurate, our HR records are in order, and our systems are working with us—not against us. That peace of mind is priceless for a small charity like ours. The changes you make might be behind the scenes, but their impact will ripple outward. This isn’t just a systems tidy-up. It’s a chance to strengthen the foundations of a charity that’s here for young people—now and into the future.

What are we looking for?

We’re looking for a volunteer who enjoys making systems work better—someone who’s confident with QuickBooks and understands how to tailor it to the needs of a small, busy team. You don’t need to be an accountant or a payroll specialist, but you should have solid experience using QuickBooks in a real-world setting, ideally including its payroll and HR features. If you’ve helped a small organisation set up or clean up their QuickBooks system before, we’d love to hear about it. Here’s what we think would make someone a great fit for this role Experience and knowledge Confident using QuickBooks, especially the payroll and HR functions Comfortable reviewing and improving existing setups—spotting inefficiencies, tidying up data, and making things easier to use Familiar with how small charities or businesses manage staff hours, holidays, and cover (or willing to learn quickly) Able to troubleshoot issues and suggest practical, sustainable solutions Bonus experience training others or creating simple guidance for non-specialists Communication and collaboration Able to explain things clearly and patiently to people who aren’t finance or tech experts Comfortable working independently but happy to check in regularly with our Charity Director Open to listening, asking questions, and shaping the project based on what you discover Personal qualities Practical, solutions-focused, and happy to roll up your sleeves Respectful of confidentiality and sensitive to the needs of a youth charity Flexible and understanding—we’re a small team juggling a lot, and we really value kindness and clarity Motivated by making a difference behind the scenes You don’t need to tick every box. If you have relevant experience and a desire to help, we’d love to hear from you. We’re especially keen to hear from people who’ve supported small charities or community organisations before, but we’re open to volunteers from all backgrounds. This is a flexible role, and we’ll work with you to shape it around your strengths and availability. What will you be doing?

We’re looking for a volunteer with strong QuickBooks experience to help us streamline and optimise how we use the platform—particularly for payroll, HR, and scheduling. This is a one-off project with a clear focus to ensure our system is working efficiently and is easy for our small team to manage going forward. You’ll begin by reviewing our current QuickBooks setup. We’d like your help identifying what’s working well, what could be improved, and where we might be missing opportunities to simplify or automate tasks. From there, you’ll work with us to implement changes that make our processes more efficient and user-friendly. The key deliverable is a well-organised, fully functional QuickBooks system that supports Accurate and straightforward payroll processing Clear tracking of staff hours, holidays, and cover Simple workflows for HR-related tasks A tidy, logical structure that’s easy for staff and trustees to navigate You’ll be working closely with our Charity Director, who manages day-to-day admin and finance tasks. You'll be provided with access to the system, background on how we currently use it, and support throughout the project. We estimate the project will take around 30 hours in total, but there’s flexibility in how and when you contribute. You might prefer to work intensively over a couple of weeks, or spread your time over a few months. We’re also open to shaping the role around your strengths—whether that’s hands-on system changes, training our team, or creating simple guidance documents to support future use. While this is a defined project, we’re very open to your ideas. If you spot other ways we could improve our systems or save time, we’d love to hear them. And if you enjoy the work and want to stay involved longer-term, we’d be happy to explore that too. This is a great opportunity to make a real difference in a small charity, using your expertise to free up time and energy for frontline youth work.
