Purpose
The Project Coordinator role is integral to ensuring the smooth running of Syntiro projects from conception to completion. Project Coordinators are responsible for completing administrative tasks and utilising tooling to provide support to the Consultants; this will ensure that the project is managed effectively and achieve the clients' desired outcomes whilst sticking to budget. You will be the touch point for Consultants, Associates and client contacts, on hand to answer any questions, scheduling, planning.
As Office Manager, you are responsible for ensuring that the company runs effectively on a day-to-day basis. You will be the go-to person for the entire team, providing administrative support, ensuring that business management systems are running smoothly, monitoring and maintaining the tools utilised throughout the project process, such as the CRM, Asana and filing system.
Duties and Responsibilities
Project Coordinator (60%)
* Format project plans, proposals and budgets with guidance from consultants.
* Responsible for ensuring projects are set-up with relevant documentation and clear project plans.
* Identify the risks involved in a particular project and manage these risks.
* Maintain and file all relevant project documentation to ensure clear communications – between Syntiro and Associates & Syntiro and the client.
* Responsible for managing the Associate and client invoicing and expenses for the project.
* Ensure that the team involved in the project is accountable to their deadlines and completes work to a Syntiro standard.
* Ensure the project runs on time and to
budget

Remote Office Manager (40%)
* Administrative tasks – booking hotels and travel planning, taking meeting notes
* Maintenance of technical business systems and programs – CRM, Asana, Dropbox, MS 365, OmniGraffle, Canva, Adobe, Time trackers, etc.
* Provide technical support to the core team.
* Manage Associate contracts and Service-Level Agreement's, and monitoring availability.
* Liaise with finance department to purchase and manage office equipment and other relevant expenses.
* Monitor business policies to ensure that they are up-to-date and accurate.
* Website development and maintenance.
* Managing business calendar.
* Research, purchasing and shipping birthday gifts for team members, Associates and relevant clients.
* Managing client calendars to ensure certification dates are observed and prepared for.
* Providing support with development of documentation including copywriting and formatting.
Managerial Responsibilities
This role does not have any team management responsibilities
Person Specification
Essential Skills and Experience
* Experience as an Office Manager and/or a Project Coordinator and/or experience in a similar administrative role.
* Strong communication skills, both written and verbal.
* Excellent organisational abilities with strong attention to detail.
* A self-starter and able to work with initiative.
* Agility in working both independently and as part of a team.
* Ability to handle multiple tasks efficiently in a fast-paced environment.
* Proficiency in Microsoft Office (Outlook, Excel, Teams, Word, PowerPoint), Google Suite (Sheets, Docs, Drive).
* Proficiency with technology and software and confidence to learn new technologies quickly.
Desirable Skills and Experience
* Knowledge and/or personal interest in Sustainability e.g. environmental and social issues.
* Experience using CRM database systems.
* Experience working within micro/small business management.
* Familiarity with Adobe, OmniGraffle, Canva.
* Ability to travel to Brighton office for periodic in-person team meetings and potential to travel to client sites in London.
