We are looking for an experienced Operations Assistant to join our existing team. The role is very varied; our current team is highly skilled, and due to internal promotion, we are recruiting for this role. You will help with the workload across our 6-member practices. This position suits someone with experience in an administration background, ideally in general practice. Main duties of the job
* Overall management of the clinical rotas on our integrated SystmOne module, including creation of new rotas and amendments of existing ones.
* Provide day-to-day operational support to PCN staff, as well as managing practical issues across the PCN.
* Create agendas and document bundles for meetings, e.g., our 6-weekly Leadership meetings & Members Board meetings.
* Take clear and well-presented minutes from the Members Board.
* Set up meetings for staff across the PCN, particularly for the Leadership Team.
* Organize each staff member's annual appraisal.
* Assist the Operational Team Leader with TeamNet - the annual leave system.
* Arrange interviews for shortlisted candidates, including inviting and preparing interview packs for the panel.
* Liaise with successful candidates to complete onboarding checks, such as DBS and references.
* Create and distribute the WLPCN newsletter.
* Ensure all PCN documents are kept up-to-date with relevant information.
* Responsibility for setting up Target afternoons, creating agendas, booking venues, and updating staff.
* Manage and order supplies for the PCN, e.g., office supplies & scrubs.
