Job overview
We are looking to recruit Bank Health Records Clerical Officers to provide flexible, ad‑hoc support to the Health Records service across East Lancashire Teaching Hospitals NHS Trust.
In this role, you will play an important part in supporting patient care by ensuring physical patient health records are accurately managed and available when needed for clinics, outpatient appointments, and hospital admissions. Duties include retrieving, filing, tracking, archiving and transporting medical case notes, while maintaining high standards of confidentiality, accuracy and customer care.
This is a practical, hands‑on role in a busy environment and involves regular manual handling, such as lifting and moving records, as well as periods of standing, walking, bending and reaching. Bank staff are required to work flexibly on an ad‑hoc basis, supporting the service during peak demand, staff absence or service pressures.
You will work either independently or as part of a supportive team, follow Trust policies and procedures, and use Trust systems appropriately to help deliver a safe, efficient and reliable Health Records service. Full training will be provided, including manual handling and information governance.
Main duties of the job
We are looking to recruit Bank Health Records Clerical Officers to support the delivery of a comprehensive and efficient Health Records service across the East Lancashire Health Community.
You will support patient care by ensuring patient records are accurately managed, securely handled and available when required for clinics, outpatient appointments and hospital admissions. A high standard of customer care must be maintained at all times, alongside strict confidentiality.
This is a practical, hands‑on role within a busy environment and involves regular manual handling. Duties include filing, retrieving, tracking and transporting medical case notes, using Trust systems including Cerner Millennium, locating records for elective and emergency admissions, and delivering patient notes across the organisation to support admissions and clinical activity. The role also includes prioritising workload to meet daily service timescales and preparing and archiving records for off‑site storage.
You will be required to follow Trust policies, information governance and moving and handling guidance, and participate in audits to maintain data quality. Applicants should have basic clerical or administrative skills, good keyboard skills, be well organised, and able to work independently or as part of a team. This role involves frequent physical activity, including lifting and moving records. Only applicants who clearly demonstrate how they meet the person specification will be shortlisted.

Adhere to departmental policies and procedures and participate in audits in order to maintain data quality and provide an efficient service.
Frequent physical effort is required for long periods during a shift, therefore all moving and handling guidelines must be followed and staff must attend all training courses as required by the department manager.
Person specification
* English Language and Maths GCSE Grade 4‑9 or equivalent, Business Administration/ Customer Care NVQ Level 2 or equivalent.
* Previous experience of working with IT systems or Microsoft Office. Previous experience in a customer care environment.
* Willingness to learn new systems and processes. Ability to work in a team. Ability to demonstrate confidentiality and sensitivity when dealing with the public. Ability to work under pressure and use own initiative.
* IT/Keyboard skills. Good verbal and written communication skills. Excellent interpersonal and communication skills in order to deal with all disciplines on the telephone using empathy and negotiating skills. Ability to cope, whilst dealing with constant interruptions in a busy environment.
Physical requirements / Manual handling
* Ability to carry out regular manual handling duties, including lifting, moving and transporting physical health records, involving prolonged standing, walking, bending and reaching, in line with Trust health and safety and manual handling requirements.
