Anna Dixon, MP for Shipley, is seeking a highly organised and proactive Executive Assistant to join her team on a 12-month maternity cover contract, working 30 hours per week. This pivotal role supports both parliamentary and constituency operations. Key responsibilities Manage Member's diary commitments with overall control of constituency & Parliamentary commitments Manage and monitor incoming calls, face to face enquiries, emails and social media enquiries, dealing with cases that do not need to be transferred to a caseworker. Ensure all enquiries are dealt with in a timely manner Provide executive support to the MP and interest groups as required Assist with the arrangement of events, which may include: venue research and bookings; compiling and managing guest-lists; liaising with suppliers; and providing on-the-day event support as required Database management and using office software (e.g. Microsoft Office) to handle administrative cases Maintain positive on-going relationships with members of the public, organisations in Westminster and constituents Provide administrative management in relation to MPs expenses scheme via IPSA Online Reconcile members IPSA card Efficient data and file management to ensure the office complies with the data protection legislation Management of Parliamentary Researcher Compilation of briefing packs Minute taking There may be a requirement for the role holder to work outside of the normal working hours and travel for work occasionally Person Specification Essential: Experience as a Personal / Executive Assistant for a senior leader Experience of drafting and sending out written correspondence Experience of helping people in a confident, friendly, professional manner Experience of organising successful events Experience of working with confidential and sensitive information Experience of managing others Excellent ability to manage and prioritise a demanding workload Strong ability to take minutes and effectively summarise key points Excellent organisational and administrative skills Excellent diary management and prioritisation skills Strong relationship building skills Strong communication skills Strong written and IT Skills (Microsoft Office) A working knowledge of relevant legislation and parliamentary business and understand how these policies may impact on local constituents Desirable: Experience of working in Parliament Experience of working in a politically sensitive environment Experience of managing expenses Experience of working as part of a geographically dispersed team Good knowledge of the Shipley constituency and local stakeholders Sympathy with the aims and values of the Labour Party Upon appointment you will be required to apply for security clearance, undertaken by the Security Vetting and Pass Office.
