About the Role

We’re seeking a proactive, highly organized, and unflappable Executive Assistant to support our dynamic and entrepreneurial CEO. Tech-savvy, resourceful, and calm under pressure, you’ll be a trusted right hand and strategic partner, operating at the center of a fast-paced, deadline-driven environment. This is a pivotal role that directly impacts the success and growth of the business.

You’ll primarily support the CEO while also collaborating with senior team members and key stakeholders across the group’s portfolio businesses. This is far more than an administrative role—it’s a unique opportunity to enable the CEO to focus on innovation and leadership by owning critical operational and strategic support behind the scenes.

Responsibilities

Discretion & Confidentiality

* Handle sensitive and confidential information—client, candidate, company data, and CEO-specific details (e.g. calendar, communications, compensation, strategic initiatives)—with complete discretion and professionalism.

Relationship Management

* Build and maintain strong working relationships across clients, candidates, and internal teams to deliver a world-class experience.
* Serve as a liaison between the CEO and external stakeholders such as executive assistants, HR & Payroll Team, and hiring leads.
* Coordinate with internal colleagues to ensure seamless communication and workflow.

Exceptional Communication

* Represent the CEO as a first point of contact for clients and senior stakeholders.
* Communicate with clarity, diplomacy, and professionalism—both in writing and in person.

Calendar & Time Management

* Proactively manage the CEO’s dynamic and often shifting calendar.
* Anticipate needs, adjust schedules based on business priorities, and ensure the CEO is prepared for each engagement.

Document Creation & Project Support

* Draft and format high-quality client documents, including proposals, position specifications, and candidate materials.
* Collaborate with the CEO, executive assistants, and associates on key deliverables.

Business Development Enablement

* Support business development efforts through research, pipeline tracking, and CRM updates.
* Maintain Salesforce and internal systems with accuracy and attention to detail.
* Confidently use Microsoft Office (especially Word, Outlook, and PowerPoint), Salesforce, and other platforms to manage data and communications.
* Input, update, and extract information from internal databases to support talent search and business development.

What You’ll Bring

* Exceptional attention to detail and pride in producing polished, client-ready work.
* Excellent communication skills—clear, professional, and emotionally intelligent.
* Strong ability to manage up, anticipate needs, and stay composed under pressure.
* Comfort with switching between multiple systems—Salesforce, Teams, Microsoft Office, and other productivity tools.
* Happy to learn new tools as and when required.

Education & Experience

* Educated to degree level or equivalent, with strong demonstrable experience in executive support or administration roles.
* Advanced proficiency in Microsoft Office Suite (Outlook, PowerPoint, Word, Excel); experience with Concur, Salesforce, or similar CRM systems is a plus.
* Minimum 5 years’ experience supporting senior leaders in a professional services, consulting, or similarly fast-paced environment.
