HR and Admin Coordinator – Chartwells Universities
Chartwells, a part of the Compass Group family, is searching for a HR and Admin Coordinator to join our team at Northumbria University. We partner with our clients to deliver the best university experience with hospitality, event catering, and more.

Responsibilities
* Work with heads of department to advertise new roles both internally and externally
* Carry out initial paper sifts of candidates for, or in conjunction with, hiring managers
* Lead on booking casual team members for shifts, in accordance with operational requirements
* Monitor the completion of all HR management processes, supporting line managers to accurately complete
* Return to works
* Long‑term sick management
* Investigations, grievances and disciplinaries
* Probation reviews
* Performance improvement plans (PIPs)
* Manage and maintain part‑year employees’ calendars, working with senior team as needed
* Work with the contract director and marketing manager to develop and deliver a site‑wide people engagement strategy
* Deliver employee recognition programme
* Site‑specific initiatives such as Employee of the Month
* Drive nominations for Chartwells Champion and Be A Star
* Celebrate good news, best practice and team achievements
* Develop strong working relationships with our team, university stakeholders, other sites and central colleagues, including partners at the DfN placement scheme
* Support operationally during key events, peak business periods and exceptional circumstances
* Support general operational administrative tasks including but not limited to:
* Meeting room bookings
* Processing invoices
* Liaising with contractors visiting site
* Ensuring completion of vehicle mileage logs
* Assisting with monthly end‑of‑period processes
Essential Qualifications
* Relevant experience in HR, recruitment, operational or administrative roles with transferable knowledge and skills
* Genuine interest in creating and delivering positive team cultures through initiatives such as employee recognition, inclusion and development
* Organised approach to work and scheduling, with the ability to be pragmatic when needed
* Understanding of standard HR practices in recruitment, scheduling and work processes such as disciplinaries
* Ability to work under pressure when needed
* Strong attention to detail
* Excellent communication skills
Desirable
* Working knowledge of OurTime or equivalent system
* Knowledge of the contract catering sector and/or large operational teams
* Strong interest in F&B, retail and events
* Administrative task experience
