We have an exciting opportunity for a highly organised, proactive and adaptable Executive Assistant to support members of our Leadership Team across Hearst Networks.

This role is focused on delivering exceptional administrative and operational support within a fast‑paced international media business. The successful candidate will act as a trusted coordinating partner to senior leaders, ensuring priorities, meetings, communications and internal processes run smoothly and efficiently.

This is a highly collaborative role, requiring strong relationship management, outstanding attention to detail and the ability to work across multiple leadership styles and competing priorities. The role is focused on high‑level executive diary coordination for three primary leaders and a small number of other senior leaders, including coordinating internal stakeholders, supporting meeting logistics and preparation, and assisting with key business initiatives and events where required, e.g. shareholder visits, board meeting preparation, executive events, international conferences. Act as a professional point of contact for key external stakeholders, support agenda preparation, collate and format meeting materials, and ensure leadership documents are presentation‑ready.

This is a permanent contract position. This role will be hybrid based in the London office, working to support our Leadership Team across award‑winning brands like Sky HISTORY, Crime+Investigation, BLAZE and Hearst CANVAS.


Key responsibilities

* Manage diaries across the Leadership Team, balancing competing priorities and ensuring effective use of executive time. Understanding what each leader requires from their diary and ensuring the diary matches – plus looking ahead to ensure effective planning for key meetings etc. Organise and coordinate leadership meetings, including room bookings, video conferencing and meeting preparation
* Act as a central coordination point across the leadership team, maintaining clear communication and alignment between stakeholders.
* Build strong working relationships across the business and act as a trusted point of contact for senior leaders and internal stakeholders. You will act as a professional representative of the leadership team, building strong relationships with other EAs and colleagues to support effective coordination and communication.
* Liaise confidently with external partners, international offices and senior contacts.
* Partner with internal teams to help coordinate company events, leadership communications and stakeholder engagement activities.
* Facilitate VIP visits, senior partner meetings and key external stakeholder engagements.
* Ensure meeting spaces and technology are prepared in advance and liaise with IT teams where necessary.
* Adapt communication and working styles effectively across different personalities and leadership preferences.
* Support administrative processes including purchase orders, vendor coordination and maintaining accurate records where required.
* Use internal systems and tools effectively, including Microsoft Office and room booking systems.
* Being part of the success of the wider organisation – specifically leaning in to support other teams where required e.g. supporting office manager, People & Culture team, Internal Comms.

Essential Skills / Knowledge

* Experience providing administrative and executive support for a team of senior stakeholders simultaneously
* Great diary and meeting management skills within a fast‑paced business environment
* Highly adaptable with experience supporting different leadership styles – with the ability to adapt to different personality types
* Strong administrative and coordination experience
* Excellent attention to detail and follow‑through
* Ability to work calmly under pressure and exercise sound judgement
* High level of discretion and professionalism when handling confidential information
* Proficiency in Microsoft Office applications including Outlook, Word, PowerPoint and Excel
* Experience using corporate systems and tools such as room booking platforms, or procurement systems


Desirable Requirements

* Experience supporting senior leadership teams within media, entertainment or international businesses
* Experience supporting leadership meetings, business events or cross‑functional projects
* Experience coordinating international stakeholders or multi‑office teams
