This role is INTERNAL ONLY and at present we are not accepting external applications. We are seeking an accomplished Project Administrator to join our UK&I Project team and play a pivotal role in delivering a key infrastructure project for a government client across their UK-wide portfolio of approximately 800 sites. The role provides essential administrative, clerical, and operational support to ensure projects are delivered on schedule and within budget. The ideal candidate is proactive, detail-oriented, and will act as the central coordination and communication point for the project team. The role focuses primarily on the Critical Security Infrastructure (CSI) Project with additional support to business-as-usual activities as required, including site attendance and stakeholder engagement.
Responsibilities
* Manage and maintain project documentation, including plans, reports, and relevant contractual records.
* Coordinate project meetings, manage calendars, take minutes, and track actions to completion.
* Support budget and resource monitoring through cost tracking, expense processing, and purchase order management.
* Act as a central communication hub between internal teams, external stakeholders, and suppliers.
* Monitor project progress and assist in maintaining accurate records and reporting.
* Ensure project activities comply with agreed standards, methodologies, and governance requirements.
* Provide administrative and logistical support to Project Managers across the CSI project.
* Support business‑as‑usual project and facilities management activities as required.
Qualifications
* Experience in an administrative or similar role; project or facilities management experience is desirable.
* Experience in public or private sector environments is beneficial.
* High proficiency in Microsoft Office, particularly Excel, and familiarity with project management software (e.g. MS Project).
* Experience using systems such as Maximo and Tririga is desirable.
* Strong understanding of project lifecycles, risk management, and documentation control.
* Excellent verbal and written communication skills, with the ability to engage stakeholders at all levels.
* Strong organisational skills, attention to detail, and ability to manage multiple priorities in a fast‑paced environment.
* Demonstrated commitment to embedding a safety‑first culture.
* Willingness to travel and attend sites to support Project Managers at meetings.
