Job responsibilities
* To undertake general reception duties, meet and greet patients and visitors, respond politely and courteously at all times.
* Communicate with patients, carers, all disciplines within the Mental Health Directorate and partner organisations, visitors to the ward and other departments within the UHB.
* Receive and transmit routine information with tact, persuasion and empathy when dealing with distressed clients and relatives, and be aware of the reporting system should an incident occur.
* Cover for other ward clerks as required.
* Undertake data entry as required, logging all admissions, discharges and periods of leave onto the Myrddin system within agreed timescales.
* Ensure patient details are correct at point of admission and discharge; ensure adequate supply of patient identification labels and continuation sheets in case notes; manage case notes tracking to ward on admission and to secretary’s office on discharge; return medical notes to other departments/hospitals as required with appropriate tracking.
* Make up subsequent volumes of case notes as required.
* Produce information signs and laminate documents as requested.
* To understand and operate the unit fire board and ensure fire procedures are adhered to.
* Deal with patients in person and via telephone; respond to distressing circumstances with sensitivity.
Person Specification
Qualifications and/or Knowledge
* Essential: Be literate and numerate, educated to GCSE level or possess equivalent skills, knowledge and experience.
* Desirable: NVQII customer care; Knowledge of Myrddin/WPAS & FACE.
Experience
* Essential: Experience of using databases and data entry; Experience of problem solving.
* Desirable: Has previously worked in the NHS or similar environment.
Aptitude and Abilities
* Essential: Good interpersonal skills; Ability to work in a challenging environment; Good communication and listening skills; Ability to transfer IT skills to new applications.
* Desirable: Ability to speak Welsh.

Other
* Essential: Flexible in approach to work and duties to meet the needs of the service; Ability to travel to any UHB site in a timely manner if required.
